    POSITION DESCRIPTION 

    Finless Foods seeks an enthusiastic, independent, and attentive professional to provide administrative support to the Manager of Operations. The Administrative Assistant is a self-directed, team-oriented individual with great communication and organizational skills.

    The Ops & Administrative Assistant plays a critical role by providing exceptional administrative support ensuring the office and labs operate efficiently and effectively. Specifically, the Ops & Administrative Assistant will provide support to Operations, will help to manage the inventory outside of the labs (checking in new supplies, helping order new supplies, and helping the team to make inventory up to date), and will oversee multiple tasks that require unwavering, close attention to detail. This role will also process receiving paperwork, and catalog them. The Ops & Administrative Assistant is also tasked with special projects at the direction of the Manager of Operations. The Ops & Administrative Assistant will also possibly have functions as Executive Assistant, Finance, and/or legal matters.

    The Ops & Administrative Assistant is expected to engage professionally with the team, suppliers, and other stakeholders involved in Finless Foods' day-to-day. The role requires a solid understanding of navigating basic office equipment and protocols, basic project coordination experience, and the ability to work well with all levels of internal and external people, as well as outside clients and vendors with an emphasis on proactivity and confidentiality.

    As an Ops & Administrative Assistant, you'll have the opportunity to actively support the company's strategic plan to change the future of seafood. You will also help optimize and automate internal processes for the most efficiency and productivity. 

    The Assistant must be present at our Emeryville, CA location part-time every day. We are looking for ambitious and driven individuals looking to strive beyond the role to accomplish the company's ultimate mission.

    KEY RESPONSIBILITIES

    • Supporting the manager of operations in projects involving bookkeeping, budget reconciliation, and expense reports.
    • Ad-hoc administrative tasks.
    • Supporting growth and development of the site through operations tasks.
    • General organization of the worksites and kitchens (lab kitchen & employee's kitchen).
    • Performing market research that will inform the executive's strategic decision-making process.
    • Communications with the Accounting and Finance department to provide assistance to their work (bookkeeping and expense reports). 
    • Data entry, filing, spreadsheet management. Managing orders emails for purchases. 
    • Support to the Science team on online purchase orders for the lab  
    • Support on daily clerical tasks

    EXPERIENCE, SKILLS, AND ATTRIBUTES

    • Pursuing a Bachelor's Degree 
    • Previous experience is a plus
    • Minimum 12 months of commitment
    • A strong foundation of skills in analytical thinking and problem-solving
    • Proficiency in Google Workspace and Microsoft Office
    • Excellent written and verbal communication, technical and interpersonal communication skills
    • Well-organized and reliable
    • Critical thinking and a keen ability to express ideas in a succinct manner
    • Accuracy in work and organizational skills
    • Ability to anticipate problems
    • Highly motivated with a strong desire to learn
    • Be flexible and open to changes and pivots

    WORK ENVIRONMENT/PHYSICAL DEMANDS

    This position involves working primarily in an office performing ad-hoc administrative tasks on a regular basis. As such this position requires the ability to stand or sit at the bench, the use of computers and standard office equipment, and the capability of lifting 15-20 pounds. The position requires analytical skills, attention to detail, and excellent time management, as well as communication with other team members.
