    ****Position Summary

    We are currently seeking a detail-oriented Firm Administrator to oversee the day-to-day administrative operations. This role is central to the smooth functioning of the firm, supporting both the professional staff and our valued clients.

    Essential Duties and Responsibilities

    • Tax Return Processing: Assemble, print, and e-file tax returns; ensure timely and accurate delivery to clients.
    • Mailing & Scanning: Manage all incoming and outgoing mail; scan and organize client documents electronically.
    • Billing & Accounts Receivable: Prepare invoices, apply payments, follow up on outstanding balances.
    • Accounts Payable: Track and process firm expenses and vendor payments.
    • Client Support: Greet clients, answer phones, and provide exceptional customer service.
    • Filing & Records Management: Maintain organized electronic and paper files in accordance with firm policy.
    • Special Projects: Assist partners with administrative tasks, marketing initiatives, or internal improvement projects.

    • Strong organizational skills and attention to detail
    • Excellent communication and problem-solving skills
    • Tech-savvy and comfortable with office software (Excel, Word, QuickBooks, etc.)
    • Ability to handle confidential information with discretion
    • Comfortable multitasking in a fast-paced environment, especially during tax seaso

    Education & Experience

    • Prior experience in a CPA firm preferred
    • Prior tax return experience preferred
