Job Description
The primary function of this position is to support the day-to-day operations of the Site Visitor Lobby and in regard to all Functional Areas as needed – HR, Operations, Finance, EHS&S, Engineering, Sales & Legal.
POSITION DUTIES AND RESPONSIBILITIES:
• Professionally greet, direct, and assist visitors
• Work with Operations, HR & the Company Contracted Temporary Agency regarding the starting and ending of temporary employees’ work assignments.
o Assigning Temporary work ID numbers, issuing badges, notifying IT of assignment ending, etc..
o Reporting personnel’s absences, pay issues & supporting Agency with release of Temp personnel as needed
• Partner with HR, EHS & Legal in scheduling weekly/as needed Export/EHS New Hire Training
• Excellent time management and effective organizational skills.
• Professional and courteous etiquette.
• Assist HR in issuing/replacing Employee Badges, planning/coordinating/communicating Employee Events and other duties as needed.
• Partner with Operations, EHS&S. & HR to learn & manage the Q-Pulse Training Tracking System – enter all employee training records as received. Interface with Auditors as needed regarding the training records.
• Assist Finance with daily printing & mailing of invoices.
• Assists HR with the posting up/down of flyers both for site, ITT, and Legal notices throughout the facility for those employees without email.
• Daily sorting of mail – in/outbound, ensuring correct postage & working with Shipping to ensure mail is delivered
• Order supplies as needed for All functional areas.
• Support the site’s Employee Engagement Committee
• Various other receptionist duties as assigned.
QUALIFICATIONS/REQUIREMENTS:
• High School diploma or equivalent
• Strong PC skills; proficient in MS Office products (Excel, Word, Outlook, Powerpoint)
• Ability to read, comprehend & write simple instructions & correspondence.
• Ability to effectively present information to employees and customers at all levels of the organization with an emphasis on confidentiality.
• Strong organizational skills with the ability to multitask and meet daily or project deadlines
• Frequent and intermittent telephone experience.
• Spanish bilingual capability a plus
