We are looking for a driven real estate executive assistant to support day-to-day operations. You’ll serve as a liaison between the agent and clients as well as working with the Marketing Assistant and Transaction Coordinator. You will also be responsible for the safe-keeping of customer information in the database/CRM, preparing contracts, overseeing escrows, and managing overall operations. Candidates should be quick problem solvers, extremely organized, and have some experience in a relevant field. If you think you’d be a great fit, apply today! The Ideal Candidate: • You love real estate but have determined that selling is NOT for you • You love running things behind the scenes and are not afraid to jump right in and help • You thrive on organizing and planning and can think one step ahead to ward off issues • You are tech-savvy - love social media and understand it • You'd like to grow with a team and would excel ultimately growing the position and becoming the critical backbone of the operations as Operations Manager • You are flexible about your time when necessary - weekends are occasionally needed • You have your real estate license or at least experience in the real estate field Responsibilities: • Organize and manage efficient office and files • Manage schedules, calendars, emails • Keep track of all listings and sales • Maintain, organize, and utilize client/lead database, and lead generation within CRM • MLS input, writing property descriptions, keeping listing status updated throughout the process • Oversee and participate in the design of marketing and advertising materials • Work with graphic designer to create brochures, marketing packages for listing appointments, and buyer consultations/tours • Manage New Listing files and provide transaction coordinator with necessary documents • Manage escrow details • Prepare materials for open houses • Actively post on social media and maintain agent website • Complete administrative duties, like picking up orders or other tasks as needed • Attend relevant training events to enhance knowledge, network, and learn best practices • Weekly team meeting to review schedule, set priorities, and brainstorm Qualifications: • Prefer candidate to already hold a valid real estate license, however, the right candidate who is unlicensed must be willing to get their license - we will assist in the process • Experience as a real estate assistant is preferred but not required for the right candidate • Tech-savvy, able to learn new programs quickly, and able to troubleshoot common problems • Tech-savvy with various social media platforms; familiar with website management • Proficient in Evernote, Microsoft Word, Excel, Outlook, Gmail • Knowledge of Follow Up Boss CRM a plus - or at least experience working with CRM programs • Creative problem solver • Detail-oriented • Extremely organized • Strong written and verbal communication skills • Strong organizational and project management skills • Calm under pressure – can assess, prioritize, and act quickly • Able to work independently as well as accept direction on assignments • Able to prioritize tasks and responsibilities • Able to meet deadlines Compensation: $25 - $27.50 hourly
