The Fleet Operations & Compliance Coordinator supports critical administrative and coordination functions within a fleet management environment, ensuring accurate and timely processing of equipment documentation, compliance requirements, and related operational tasks. This role focuses on GPS management, title administration, equipment sale paperwork, registration and licensing, toll and violation administration, and insurance compliance. The ideal candidate is detail-oriented, highly organized, and comfortable working in a manual, process-driven setting while maintaining strong follow-through and effective customer and vendor communication. **

Key Responsibilities:
· Manage equipment titles, title transfers, and related documentation in compliance with state regulations
· Prepare and process equipment sale paperwork, ensuring accuracy and completeness of all documentation
· Handle equipment registration and licensing activities across multiple jurisdictions
· Monitor insurance compliance for fleet equipment, ensuring required coverage is current and documentation is accurate and up to date
· Coordinate toll and traffic ticket administration, including tracking, follow-up, and resolution
· Communicate with DMVs, toll authorities, vendors, and customers to resolve issues and obtain required information
· Research and resolve discrepancies, including billing issues, violations, and documentation errors
· Order and distribute GPS devices in a timely manner
· Track GPS installations and inventory, ensuring ERP and GPS systems remain aligned
· Coordinate GPS geofence setup and maintenance within the GPS system
· Audit invoices related to tolls, registrations, and GPS transactions for accuracy
· Maintain organized and up-to-date fleet records and supporting documentation
· Coordinate timely follow-up on outstanding items, including GPS discrepancies, titles, renewals, and violations
· Support manual workflows and identify opportunities for efficiency and process improvements
Qualifications & Skills:
· Notary Public certification (preferred or required, based on state requirements)
· Experience in fleet management, automotive administration, or equipment titling preferred
· Strong customer service and communication skills
· Proficiency in Microsoft Office (especially Excel and Outlook)
· Excellent organizational skills with the ability to manage high-volume, detail-heavy work
· Strong attention to detail and accuracy in documentation
· Effective research and analytical skills
· Ability to work in a manual, process-heavy environment with consistency and reliability
· Demonstrated follow-through and accountability for completing tasks
