
Untitled Entertainment is currently looking to add a dedicated floating assistant/receptionist to the team. This is an entry-level role with the opportunity for growth and advancement. This person will be the face of the office and will play a crucial role in creating a positive first impression for all guests and clients. The ideal candidate is highly adaptable, proactive, and comfortable navigating shifting priorities in a fast-paced, creative environment.
In addition to front desk responsibilities, this role will also serve as a floater, providing coverage for assistants who are out of office. This includes supporting managers directly, maintaining continuity of workflow, and ensuring that all desks are covered with professionalism and discretion.
The floating assistant/receptionist will function to support the entire team and work closely with the Office Manager on a daily basis.
This role is in person at the centrally located, pet friendly, Los Angeles office.
What you will do:
- Warmly greet and assist guests, clients, and visitors as they enter/leave the office.
- Manage incoming calls and transfer them to the appropriate departments, and provide phone coverage to managers as needed.
- Maintain office meeting space via the office calendar and conference room scheduling.
- Assist coordinating with building maintenance and outside vendors.
- Note and relay detailed and accurate messages for team members.
- Pick up mail, sign for packages, process outbound shipment requests and confidently distribute mail to appropriate offices.
- Order office, bathroom, and kitchen supplies as needed.
- Organize the storage rooms and maintain pristine levels to ensure smooth operations.
- Assess and fulfill all physical office needs including but not limited to general supplies, restocking, communal area cleanliness, facilities maintenance, and employee perks/appreciation.
- Provide general administrative assistance to the office manager.
- Provide support, plan and execute company activities and events, as well as local community engagement.
- Act as a floater, covering desks and assisting managers when their assistants are out of office.
- Read, summarize, and analyze books and screenplays and provide coverage.
- Other duties as assigned.

- Ability to adapt quickly to changing priorities.
- Proficiency in Microsoft Office Suite.
- Proficient experience with Zoom meetings and presentations.
- Excellent verbal and written communication skills.
- A proactive disposition, resourcefulness, and a strong work ethic.
