    At our firm, we not only greet but we receive telephone callers, visitors, and clients artfully. We go beyond providing good customer service; we craft an excellent client experience, from initial intake to closing the case. To be effective, you need to embody our firm’s core values in every communication, both oral and written, with everyone you encounter. You smile easily and often and you’re able to engage with visitors from all walks of life, determine their needs and guide them to the right place or person in the firm. This could be by routing a telephone call to the appropriate person qualified to handle the caller’s needs; making an appointment to see a senior staff member; answering routine questions or having the wherewithal to find someone who can. Responsibilities: CLIENT/VISITOR-FOCUSED TASKS • Answer, screen, and transfer incoming calls. Take detailed messages, as appropriate. • Maintain the calendars of the Firm’s attorneys. Set their appointments. • Greet clients, visitors, attorneys, and employees via phone or in person. • Create a positive and professional first impression on behalf of the firm. • Facilitate check-in process, including compiling necessary intake paperwork and preparing meeting space. • Accept and process client payments. • Monitor progress of cases as they work through the pipeline. Provide client updates, as needed. ADMINISTRATIVE TASKS • File, organize, draft and fax legal documents and correspondence. (Knowledge of eFiling for federal and state courts is a must.) • Case management assistance, i.e. creating files for client matters, data entry into Clio. • Sort, handle and log all incoming mail, deliveries, and packages. Direct all mail and deliveries to the proper person. • Purchase and keep an inventory of office and breakroom supplies. • Help schedule, prepare, and execute Firm events, both in and out of the office. • Make the Firm’s travel arrangements. • Organize and expedite the Firm’s workflows. • Help manage and monitor Managing Attorney’s emails. • Perform other general office duties as time permits. • Help coordinate the communication and workflow between the attorney/owner and the vendors. Qualifications: • A college degree is required • Candidates should be able to type at least 50 words per minute • Experience with legal software, litigation case management, and docketing programs • Minimum 2-3 years of experience in a law firm or office environment as an administrative assistant or secretary • Comfortable working with all Microsoft Office products • Organizational skills and communication skills are necessary for this position • Able to meet demanding deadlines in a fast-paced environment Compensation: $17 - $20 hourly
