    Job Description

    SUMMARY: The position manages and trains employees engaged in document writing and coordination of such documents. This position also interprets regulations and requirements of regulatory agencies (Federal, State, and other), as well as third-party and customer audits. Should have a complete understanding of compliance requirements for the company. The position must determine the appropriateness of documents or procedures and standardize all documents to adhere to regulatory agency requirements, eliminating over documentation.

    REQUIREMENTS:

    • B.S. Degree in business administration, paralegal, or technical writing or equivalent.
    • Two years of Managerial Experience or an additional five or more years of experience without a B.S. Degree.
    • Excellent English grammar and spelling.
    • Two years of experience with food industry quality control and quality assurance practices and systems.
    • Experience creating procedure documents or contract writing.
    • Proficient with MS Office Suite; experience creating spreadsheets.
    • Very organized with the ability to take charge of and complete projects.
    • Ability to train employees at all levels of the organization, as well as audit training done by others.

    ESSENTIAL JOB FUNCTIONS:

    • Hire, manage, develop, and train Document Team by providing discipline and guidance as needed.
    • Serve as a primary technical writer for documents pertaining to production, food safety and quality, including policies, programs, and Standard Operating Procedures.
    • Extract, organize and analyze data regarding agency requirements.
    • Must source materials and information as needed to complete the project.
    • Evaluate existing documentation for applicability, completeness and compliance.
    • Communicate with all departments to obtain needed information/documentation.
    • Become familiar with company’s QA system and SQF Food Safety Code
    • Assist in drafting and formalizing new letters of guarantee, contracts, and other documents.
    • Supervise, coordinate, and ensure customer request documents are completed in a timely manner.
    • Maintain registers required by the QA system.
    • Set goals, evaluate performance, and discuss progress with employee during performance review.
    • Participate in program audits pertaining to documents and records to ensure we are in compliance with SQF Food Safety Code’s requirements.
    • Assist in evaluating, seeking, and providing recommendations to continuously improve our systems, processes, etc.
    • Ensure documents pertaining to regulatory, food safety, customer complaint etc. are kept on file for record keeping.
    • Assist staff to ensure department tasks and projects be completed in a timely manner.
    • Develop trend reports to measure department performance.
    • Perform all other duties as assigned.
