    Fossil Distance Learning Program is a program within the Fossil Charter School in Fossil, Oregon. This charter school is the only school in the Fossil School District. The Fossil Distance Learning Program has been in existence for the last 10 years, and has been serving students in grades K-8. This program has provided diverse educational opportunities to students all across the State of Oregon. Fossil Charter School contracts with Distance Learning Solutions, Inc. to administer and deliver the instructional and related services to students enrolled in the Fossil Distance Learning Program.

    The distance learning program model is based on a hybrid distance education model wherein teachers provide virtual support to students, families, and work with a collaborative team of teachers. Depending on Covid-19 restrictions, this position will include in-person activities consisting of field trip opportunities, workshops, state testing, and other events with our students and their families.

    For this position, Distance Learning Solutions, Inc. directors are looking for candidates who have an current state of Oregon teaching license. We are looking to fill 2 FTE positions to host activities and events with our students and families throughout the school year. We would prefer candidates with experience with charter schools, online education, and homeschooling.

    ENRICHMENT ACTIVITY COORDINATOR

    JOB DEFINITION: Under the general supervision of the Distance Learning Solutions, Inc. Directors perform a variety of tasks with major responsibility being that of providing exceptional support services for families and students participating in a virtual schooling program and that may participate in numerous in person enrichment activities and in person state testing sessions.

    REPORTS TO: PROGRAM DIRECTORS OF DISTANCE LEARNING SOLUTIONS, INC.

    JOB CHARACTERISTICS: Support services shall include planning and managing events of varying sizes and purposes, vendor and venue communication and scheduling, regular and frequent communication with parents/guardians and students, regular tracking of activity payments and rosters. Responsibilities include supervision, guidance, discipline, and safety of students and parent/guardians. The use of independent judgement and decision making is required in many matters not having established rules, regulations, policies or precedent.

    ESSENTIAL FUNCTIONS:

    1. Organizes and manages student activities including but not limited to field trips, educational enrichment activities, school wide events and assessments
    2. Maintain family and event webpages and other virtual communications applications
    3. Maintain daily reports for attendance at hosted events, event sign ups, event payments from participants
    4. Initiates and maintains communication with vendors and venues and confirms payments and reservations
    5. Documents all student and family contact through learning management system
    6. Answer daily email and phone calls from staff, families, outside vendors, venues, and others.
    7. Maintain student files of assessment dates, participation, and results
    8. Perform required assessments for all assigned students
    9. Locate and coordinate locations and venues throughout the State of Oregon for in person enrichment and group activities
    10. Attend all staff meetings
    11. Attend required meeting with direct supervisor
    12. Maintain daily reports
    13. Maintain daily time cards and/or contact logs
    14. Submit monthly documentation of mileage and appointments
    15. Establishing and maintaining relationships with vendors and venues
    16. Remaining within budget
    17. Managing events and addressing potential problems that may arise
    18. Planning for potential scenarios that could impact the integrity of the event
    19. Maintain a working knowledge of the complex needs of a wide variety of events
    20. Planning event with attention to time constraints
    21. Negotiate with vendors to achieve the most favorable terms
    22. Do final checks at the day of the event to ensure everything meets standards
    23. Oversee event happenings and act quickly to resolve problems
    24. Evaluate event’s success and submit reports
    25. Evaluate and research potential locations, providers, vendors, and other professionals frequently to determine viability for future events and build a personal knowledge base
    26. Research new ideas for programs and activities, taking into consideration participants’ suggestions
    27. Initiating and planning the monthly calendar in conjunction with the Program Director
    28. Coordinate and monitor event timelines and ensure deadlines are met
    29. Provide clear, concise and timely communication of detailed requirements for each event and distribute appropriately; communicate changes before and during events

    OTHER FUNCTIONS:

    1. Participates in in-service and professional development activities

    2. Facilitate the assessment of program students and the planning required to meet those needs

    3. Attends meetings and serves on committees as assigned or directed (or if individual volunteers)

    4. Sets and carries out goals each year

    5. Contributes to the continuous innovation that is required of a unique distance learning program

    6. Operate office machines, including computers, scanners, copiers, and fax machines

    7. Assists in accounting process of organization purchasing

    8. Use a variety of computer software including MS Excel and the Google Suite

    9. Fulfills other duties as assumed or as assigned by supervisor

    QUALIFICATIONS:

    MINIMUM REQUIREMENTS:

    EDUCATION/LICENSURE/CERTIFICATION:

      • Bachelor’s Degree in teaching or relevant field
        • Valid and active Oregon Teaching Certificate in content area assigned OR valid Temporary Certificate in content area assigned
        • Endorsements as required by Oregon Department of Education for area of teaching

    EXPERIENCE:

      • One year successful teaching experience within subject area OR successful completion of an Oregon instructional internship program
        • Knowledge of event industry, preferred

    OTHER MINIMUM QUALIFICATIONS:

      • Must have a dedicated work space free from distractions
        • Operational knowledge of the Internet and Web-related technologies
        • Must also be able to pass a background check
        • Obtain first Aid certification.
        • Must have reliable transportation to events

    ADDITIONAL EXPERIENCE:

    Demonstrated competency through college preparation, student teaching, and/or classroom experience, and professional development.

    KNOWLEDGE OF:

    ABILITY TO:

    1. Develop and implement appropriate educationally relevant learning experiences and field trips

    6. Communicate effectively

    SALARY AND BENEFITS:

    1. Typical starting salary is $52,000.
    2. Distance Learning Solutions, Inc. Will pay 100% family premium for family Major Medical, Dental, and Vision.
    3. Distance Learning Solutions, Inc. is not a PERS employer but does contribute a % of salary to 401(k) Profit Sharing Plan.

    PHYSICAL REQUIREMENTS AND ENVIRONMENTAL CONDITIONS:

    Working closely with students can be both physically and emotionally tiring. May be stressful for those who deal with unmotivated and disrespectful students. May require exposure to adverse weather conditions and noisy work areas. Special education teachers may be exposed to such job hazards as biting, kicking, etc.

      • Location: Remote Office, Hosted Activity, or School-Based Facility as assigned
        • Frequency of travel: Occasional travel may be required for different work locations, including lab visits, meetings, trainings, field trips, state testing, and conferences; assigned locations will vary, and may require overnight stays
        • Light physical activities and efforts required working in an office environment
