Job Description
PURPOSE OF POSITION: Responsible for providing administrative and clerical support for Operations and Environmental, Health and Safety (EHS) department to run smoothly in the day-to-day operations.
ESSENTIAL JOB FUNCTIONS:
Create requisitions and purchase orders, review and file invoices, and check status of orders. Order chemical supplies from suppliers. Order safety supplies (PPE and food safety equipment, etc) from suppliers.
Provide responses to corporate or vendor requests regarding material ordering, SAP master data, and parked POs. Required to archive and maintain accurate records for all non-ingredient purchases. Communicate with plant personnel to ensure requisitions and lead times are accurate.
Assist EHS Manager with day-to-day safety departmental tasks, such as communicating with work-related injured employees that are Spanish speakers. Conduct Safety portion of all new hire orientations in Spanish. Assist EHS Manager with Hazardous Material Program by maintaining records for Chemical Control Program, updating SDS binders, and Waste Disposal companies. Distribute waste manifests to federal agency, as needed.
Enter all new work related incidents into corporate database, create incident folders, send required documentation to the worker’s compensation department, and update the corporate database on injury status, as needed.
Translate all 5- minute safety talks, all monthly safety bulletins, modified restrictions notices to injured employees, and environmental and safety trainings or programs into Spanish.
Conduct monthly inspections of eye wash stations, update first aid logs, inspect sharps containers and spill containment drums, fire sprinkler system, and hazardous waste log.
Distribute lock-out and tag-out equipment and maintain records for Lockout/Tagout Program.
Manage Safety Bingo Program (bingo board, distribution of gifts, update spreadsheet).
Update EHS training spreadsheet, file documentation, update TIR and safety board, and attend meetings/trainings, as requested.
Manage Metal Detector Bandage Program (check metal detector bandages and record on log sheet) and maintain records of program.
Qualifications
REQUIREMENTS:
High School diploma required (or equivalent)
1-3 years administrative or clerical experience
Computer literate in Microsoft Office; strong understanding of SAP preferred
Good verbal and written communication skills, bilingual (English/Spanish) required.
Good interpersonal and customer service skills
Ability to work with minimal supervision
Ability to maintain high confidentiality
