  • Responsibilities

    Job Description

    Pay Range: $17.60 to $20.70 per hour

    (Additional $1.00 per hour for hours worked between 7:00pm and 11:59pm. Additional $2.00 per hour for hours worked between 12:00am-4:59am)

    • Provide administrative and clerical support for the Construction, Maintenance and Engineering Departments to ensure the office responsibilities run smoothly in the day-to-day functions.
    • Primary point of contact for internal and external requests for services relating to the Construction, Maintenance and Engineering Departments.
    • Independently review and answer correspondence and inquiries of a non-routine nature. Handle complaints and follow up with necessary adjustments as required.
    • Carry out special projects as directed by supervisor. Responsible for follow-up on assignments or projects to ensure that decisions are implemented and appropriate parties are notified.
    • Aid management in staff capacity by coordinating office services such as maintenance, supplies, special employee functions, mail and files. Review and recommend changes in workflow and simplify reporting procedures.
    • Schedule appointments and meetings, screen and route incoming calls.
    • Compile and maintain official corporate records of a confidential nature (share holders). Coordinate collection and preparation of operating reports pertaining to department projects.
    • Receive requests, prioritize and set schedule of the department’s material runners (this service a company wide service).
    • Receive construction/maintenance requests, prioritize by bird age, send relocation and placement of generators. Main contact for labor contractors and assist in the scheduling of temporary laborers.
    • Create/ issue purchase requisitions and/or Purchase orders to all construction maintenance vendors for projects, and verify invoices against the purchase orders for contract prices. Assist Accounting Department with any discrepancies regarding invoices and contract amounts.
    • Receive requests, research cost comparisons and contracts all equipment rentals company wide (rental costs exceed $20,000 weekly). Create and maintain database which consists of all rentals issued and terminated against major/all projects.
    • Manage the office while supervisors oversee construction sites. Support supervisors in ensuring that all materials and equipment are delivered on time.
    • Review and recap timecards for verification of hours, cost center allocation and break and lunch break compliance.
  • Qualifications

    Qualifications

    • Strong organizational, interpersonal, and communication skills (written and verbal).
    • Must have a high school diploma. College Degree preferred.
    • Computer literate in Microsoft Office and understanding of SAP preferred.
    • Ability to use Windows, Word, Excel, Access, Power Point, TSO/CICS and E-mail programs.
    • Ability to download and run project reports
    • Ability to maintain high confidentiality.
    • Minimum of 1 years clerical experience.
    • Ability to work independently, multi-task, work with detailed information with minimum supervision in a fast passed team work environment.
    • Possess excellent telephone etiquette.
    • Must be able to have consistent attendance.
