    Job Description

    PURPOSE OF POSITION:

    As a key member of the Accounts Payable team, the Programs Administrator will be responsible for ownership and management of total company Pcard program, fuel card program, travel program, Amazon Business, Staples Program, payment control, and the vendor payment process.  

    Analysis of the Pcard Program including development of metrics and quarterly executive reporting.

    Analysis of the Fuel Card Program including development of controls, metrics, and reporting.

    Analysis of the Amazon Business and Staples programs including development of metrics, controls, and reporting.

    Overall management of the travel program including but not limited to contract negotiations, supplier relationships, delivery of quarterly reports.

    Procurement and negotiation of vendor contracts including hotel, airline and ground transportation.

    Evaluation of total company Pcard, Fuel Card, Travel Programs, Amazon Business, Staples, and proposing value added changes to existing processes.  Responsible for implementation of approved changes to programs.

    Ownership and management of Payment Control Procedures: includes managing on-going activities, analysis, development and implementation of process improvements.

    Ownership and management of Vendor Payment Processes (Check, ACH, and Single Use Account Payments): includes analysis, reporting, development, and implementation of process improvements. Take lead role in moving vendor payments from manual check format to electronic payments.

    Development and implementation of operating guidelines, procedures, mandates in regards to the above areas. Including identifying industry trends and adjusting policies accordingly.

    Other ad hoc analysis of AP processes and procedures and proposing value added changes to existing processes as directed by AP Manager. Includes implementation of approved changes to processes.

    ESSENTIAL JOB FUNCTIONS:

    Ownership and management of the PCard program, fuel card program, travel program, Amazon Business, and Staples program including performance metrics, executive reporting, and on-going analysis of programs.

    Continuous evaluation and development of PCard program, fuel card program, travel program, Amazon Business, Staples, payment processes, and payment control procedures including the implementation of value added changes to existing programs.

    Other ad hoc analysis of AP processes and procedures and proposing value added changes to existing processes as directed by AP Manager.  Includes implementation of approved changes.

    Management of vendor payment processes and payment control procedures including analysis, reporting.

    Assist with Accounts Payable functions including reviewing & auditing transactions over $5k and auditing for potential duplicate payments

    ADDITIONAL FUNCTIONS:

    Other assignments based on the needs of the accounts payable department.

  • Qualifications

    Qualifications

    REQUIREMENTS:

    Business/Accounting degree preferred, or must have equivalent work experience.

    Must be a self starter and have excellent communication, interpersonal, written, verbal, and presentation skills.

    Ability to work independently, with a team, and with all levels of management.

    Excellent organizational skills, detailed oriented.

    Must have strong understanding of computer systems, accounting interfaces and have basic knowledge of statistics and data analysis.

    Understanding/experience in an accounting/purchasing environment preferred.

    Strong problem solving skills and goal oriented with a focus on results.

    Ability to handle pressure and make quick decisions.

    Have the ability to handle the dynamics of a change that will affect the entire organization.
