Position Title: Administrative Assistant/Appointment Coordinator
Job Status: Full Time
Compensation: $15.00 per hour
Reports to: Director of Operations
JOB SUMMARY: MUST BE ABLE TO WORK EVENINGS AND SATURDAYS. MODERATE TRAVEL REQUIRED.
APPOINTMENT COORDINATOR POSITION
As an Administrative Assistant/ Appointment Coordinator, you will be the first in person contact for our company. The Appointment Coordinator serves as an initial contact for clients via telephone and assists them in a manner consistent with Foundations Counseling’s customer service standards. The Appointment Coordinator assesses needs of the clients to determine appropriate scheduling with therapists within a time and sequence acceptable to the client needs and office policy.
To be successful as an Administrative Assistant/Appointment Coordinator, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with the potentiality of high crisis calls in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role requires working in shifts, so flexibility is a must.
ESSENTIAL JOB FUNCTIONS
· Operates computer and phone system to appropriately and accurately schedule, change, cancel, coordinate, and confirm client appointments and counselor interviews.
· Screens all incoming calls to the department.
· Schedules and instructs clients on preparation for appointment.
· Receives, processes, and files letters and forms from clients and therapists.
· Verifies and updates clients’ billing and demographic information.
· Operates a fax machine and printer and scanner effectively to communicate client information.
· Reviews and meets ongoing competency requirements of the role to maintain skills, knowledge and abilities to perform, within scope, role specific functions.
REQUIREMENTS
· Proficiency in Microsoft Office Suite
· Hands-on experience with office equipment (e.g. fax machines, printers)
· Professional attitude and appearance
· Solid written and verbal communication skills
· Ability to be resourceful and proactive when issues arise
· Excellent organizational skills
· Multitasking and time-management skills, with the ability to prioritize tasks
· Customer service attitude
SOFTWARE QUALIFICATIONS: Microsoft Office: Excel, Word, and Outlook, EMR experience is a bonus

SKILLS: Clerical Administration, Client relations, Accounts receivable, Data entry, Collections, Written and oral communications
EDUCATION AND EXPERIENCE PREFERRED: Two years administrative experience and/or Associates or Bachelor’s degree in related field. Compensation is $15.00/hour.
