    FRAZIER HISTORY MUSEUM JOB DESCRIPTION

    TITLE:                           Part-Time Event Coordinator

    RESPONSIBLE TO:         Director of Events

    FLSA STATUS:               Non-Exempt/ Hour

    POSITION PURPOSE AND OBJECTIVES:

    This individual will work directly with the Event Director and Event Coordinators to help sell event space and ensure that all logistics and operational aspects of the events are communicated and fulfilled.  The part-time Event Coordinator will help act as a liaison between the client and Museum’s operational departments/vendors to implement established Museum/event policies while ensuring customer satisfaction.

    ESSENTIAL JOB FUNCTIONS:

    • Assist in servicing client accounts and Museum internal events to ensure that all clients’ needs relating to an event are fulfilled.  This includes working with event staff, vendors and contractors in the execution and implementation of a successful event.
    • Use event management software Reserve Interactive (RI) as well as floor-planning software All Seated to manage event needs.
    • Help coordinate the implementation of the contract, internal and external correspondence and invoicing.
    • Work directly with Event Director, other Event Coordinators and Event Staff to ensure all aspects of the contract are fulfilled and to maintain client relationships for the purpose of ensuring customer satisfaction and rebooking of future business.
    • Support the department in administrative duties and daily activities.
    • Assists with facility rentals social media, e-mail and website communications
    • May be asked to help full-time Event Coordinators oversee execution of events, including many after-hours and weekends.

    JOB QUALIFICATIONS:

    • Must have a Bachelor’s degree.
    • The candidate must have 3+ years of customer service experience and strong communication skills (event and/or hospitality management preferred).
    • Being able to stay on task and manage office time is pertinent.
    • Must be computer and Internet savvy.
    • The candidate must have a strong interest in the field of event coordinating, especially with regard to wedding and corporate events.
    • Must have understanding of Facebook, Twitter, Instagram, etc.
    • Demonstrates a professional demeanor, initiative, confidence, creativity, the ability to set priorities in a dynamic environment and commitment to continuous improvement.
    • Possesses excellent written and oral communication skills as well as organizational skills.
    • Able to work independently and complete tasks and projects. 
    • Demonstrates good judgment, analytical, decision-making and problem-solving abilities. 
    • Accepts accountability for timely results and attention to detail.
    • Must understand and implement time management skills.
    • Is flexible and willing to embrace change/shift priorities on a regular basis.
    • Is a team player and committed to the goals and ideals of the Museum.

    • Maintains confidential information.

    WORKING & PHYSICAL CONDITIONS:

    • This work is performed in an office setting within the museum. Should the candidate work any Events, they often take place outside of traditional business hours, on weekends, and the occasional holiday.
    • Typical physical demands include sitting at desk, walking, standing, climbing stairs, hearing, lifting and carrying up to 100 lbs.
    • The position may require occasional travel locally, including but not limited to trips to acquire supplies, go to functions, attend/coordinate events, etc. all of which may at times be outside of and/or in addition to normal working hours.
