    Are you someone who’s calm in chaos, kind to strangers, good with details, hates drama, and secretly a wizard with Outlook and reports? We’re looking for that person. At Spencer Psychology, we’re more than a mental health practice. We’re a healthy, close-knit, family-friendly team that supports each other as much as we support clients. Our front desk is the heart of our office, and we’re looking for someone warm, organized, and tech-savvy to be a welcoming face (and voice) for our busy office. The receptionist reports to our office manager, as part of a 5-member support staff team for 24 kind-hearted therapists. What You’ll Do: • Greet clients with compassion and professionalism • Answer phones and client questions • Keep supply inventory • Keep things running smoothly behind the scenes — from insurance checks to account updates to staying on top of daily reporting (like downloading credit card payments) Schedule: Monday–Friday, 8–4 or 9–5 (your choice). We are flexible with time off for doctors' appointments, your kids' school performances, and general personal life needs. Responsibilities: • Provide administrative support to other team members with data entry, paperwork, photocopying, etc. when needed • Take incoming phone calls and respond to emails and ensure the appropriate people receive all relevant information • Schedule appointments and ensure the business calendar is accurate and up-to-date • Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions • Complete assigned reporting functions for our electronic health record (matching payments to client accounts, importing credit card transactions, running insurance eligibility, processing consent forms, and faxing). Qualifications: • Comfortable taking telephone calls and mitigating stressful situations • Has previous experience with word processing programs and basic computer skills • Displays impeccable interpersonal, time management, organizational, and customer service skills • Associate's degree or equivalent certification. • At least one year of receptionist or administrative assistant experience in a health care office, required. • Must pass a background check. Compensation: $17 - $17.50 hourly
