    Responsibilities

    Greet clients and visitors, maintain a professional front desk environment.

    Answer and direct incoming calls; manage incoming messages, mail, faxes, and packages.

    Prepare conference rooms and assist with client meeting materials.

    Create and maintain client records in our CRM and scan/upload documents.

    Prepare and process outgoing mail; run local errands as needed.

    Print, copy, tab, and assemble documents including estate planning packets.

    Maintain office supply inventory and keep printers stocked.

    Provide general administrative support such as scanning, copying, and data entry.

    Assist team members with special projects as needed.

    Qualifications

    Proficiency in handling incoming calls on a multi-line phone system.

    Exceptional interpersonal and communication skills.

    Strong organizational, time management, and customer service skills.

    Keen attention to detail.

    Ability to manage multiple deadlines and work independently in a fast-paced environment.

    Proficiency in Microsoft Office Suite; experience with CRM systems preferred.

    Prior experience in a professional office setting, preferably in a law firm, is a plus.

    High school diploma, G.E.D., or equivalent required.
