Plastic Surgery Practice – Miami, Florida
We are looking for a sharp, organized, and dependable Front Desk & Administrative Assistant to join our plastic surgery practice. This position is ideal for someone who can provide an excellent patient experience at the front desk while also assisting the Practice Manager with administrative tasks as needed.
The right person will be a quick thinker who can manage several responsibilities at once without allowing details to be missed. We need someone who takes initiative, communicates well, follows through, and can recognize what needs attention without always having to be reminded.
Responsibilities
Welcome patients and provide a professional, warm, and polished experience
Answer and manage phone calls, text messages, emails, and patient requests
Check patients in and out, collect payments, and confirm required forms are completed
Schedule appointments and maintain an organized patient schedule
Communicate clearly with patients regarding appointments, instructions, and practice policies
Keep the front desk and patient areas organized and presentable
Assist the Practice Manager with reports, documents, scheduling, follow-ups, and other administrative tasks
Help track outstanding items and ensure tasks are completed by their deadlines
Communicate with staff, vendors, and outside contacts when requested
Handle sensitive patient and business information with discretion
Identify issues early and bring them to the appropriate person’s attention
Assist with additional office needs and special projects as assigned
Qualifications
At least two years of front desk, medical office, administrative assistant, or executive assistant experience preferred
Medical, plastic surgery, cosmetic, or luxury-service experience is a plus
Strong multitasking, organization, and time-management skills
Excellent attention to detail and follow-through
Professional written and verbal communication
Comfortable using computers, scheduling systems, email, and office programs
Able to remain calm and organized in a busy environment
Reliable, punctual, and willing to take ownership of responsibilities
Able to accept direction and feedback professionally
Bilingual English and Spanish is preferred
The Ideal Candidate
You are proactive, resourceful, and able to think ahead. You understand that every patient interaction reflects the practice. You can shift between greeting a patient, answering the phone, handling the schedule, and completing an administrative task while remaining professional and accurate.
This is not a position for someone who needs constant reminders or becomes easily overwhelmed. We are looking for someone who takes pride in their work, notices the small details, and follows tasks through to completion.
Schedule
