About the Role The Front Desk Administrative Assistant helps make sure the office is open, organized, stocked, and professionally covered each business day. This person will sit at the front desk, help prepare the office for the day, greet clients and visitors, assist with administrative tasks, support attorneys and staff with reminders and follow-up, help with scanning and saving documents, and serve as a backup for phones when needed. This role is not responsible for giving legal advice or handling substantive legal work. However, the person in this position will assist with legal administrative support and may grow into additional legal assistant responsibilities over time. Expected schedule: Monday through Friday 8:30 a.m. to 5:00 p.m. The employee must be in the office by 8:30 a.m. each workday because the role includes participating in the morning call and helping open and prepare the office before the front door opens to clients at 9:00 a.m. Reliable attendance and punctuality are essential for this position. Qualifications: • High school diploma or GED required • Prior experience in an administrative, receptionist, front desk, customer service, or professional office support role preferred. • Experience in a law office, medical office, accounting office, financial office, executive office, or other professional services environment is a plus, but not required. • Must be able to work full-time, in office, Monday through Friday from 8:30 a.m. to 5:00 p.m. in Orland Park. • Must be reliable, punctual, and able to arrive by 8:30 a.m. each workday. • Strong professional communication skills, including the ability to interact appropriately with clients, visitors, vendors, attorneys, and staff. • Basic computer proficiency required. • Familiarity with Microsoft Office required. • Willingness and ability to learn new office technology, software, scanners, phone systems, and case management systems. • Experience with Clio, Front, Slack, Lawmatics, Google Workspace, ScanSnap, or similar tools is a plus, but not required. • Strong organization skills and ability to use task lists, calendars, reminders, checklists, or other systems to track work. • Ability to manage interruptions, competing requests, and changing priorities without becoming overwhelmed. • Strong attention to detail when scanning, saving, tagging, routing, or organizing documents. • Ability to follow written and verbal instructions accurately. • Willingness to ask questions when instructions are unclear instead of guessing. • Ability to respectfully remind attorneys or staff about appointments, time entry, follow-up items, or administrative tasks. • Ability to maintain confidentiality when handling client information, documents, phone calls, and internal communications. • Positive attitude, willingness to learn, and interest in growing into additional administrative or legal assistant responsibilities over time. • Must be comfortable performing front desk, office support, supply stocking, document handling, and routine administrative tasks. • Compensation: $20 hourly
