Summary:
LIVE is seeking a candidate for a contingent role to provide comprehensive administrative and clerical support to the U.S Air Force's Military and Family Readiness Center (M&FRC) at Minot Air Force Base, North Dakota to support their Transition Assistance Program (TAP). This position supports daily office operations by preparing and reviewing correspondence and reports, managing records, coordinating schedules, maintaining automated systems, and serving as the primary records custodian. The employee will ensure all work is performed in compliance with applicable Air Force instructions, program desk guides, training guides, and local command policies, and maintain proficiency in required Air Force automated systems and office automation tools.
Essential Job Functions:
- Provide administrative and clerical support in accordance with AFI-36-3009, M&FRC program desk guides, AFFIRST training guides, and all applicable Air Force, Air Force Global Strike Command, and local command policies and publications.
- Prepare, edit, proofread, and finalize a wide range of recurring and non-recurring correspondence, reports, memoranda, forms, and other documents in compliance with administrative and formatting requirements.
- Compose nontechnical correspondence, including procedural instructions, requests for information, acknowledgments, and notifications.
- Review incoming and outgoing correspondence, publications, regulations, and directives for accuracy, format, completeness, and procedural compliance, and advise staff of any deviations or deficiencies.
- Screen incoming mail and electronic communications and route items to appropriate staff, organizations, or offices, or bring matters requiring attention to the supervisor.
- Establish and manage suspense dates using automated scheduling and calendar systems and notify supervisors of conflicts or deadlines that cannot be met.
- Receive telephone calls and visitors, determine the nature of requests, and refer callers and visitors to appropriate personnel; personally respond to routine, nontechnical inquiries and provide follow-up as required.
- Create, update, and maintain office records and files using automated and non-automated systems, including records management systems, electronic publications and forms systems, time and attendance systems, and other administrative tools.
- Serve as the primary Records Custodian for the M&FRC by establishing, maintaining, purging, and disposing of records in accordance with regulatory requirements and approved file plans.
- Perform data entry and updates in TAP-related systems, ACCESS databases, and the AFFIRST system.
- Use multiple office automation software applications to create, revise, format, retrieve, and present documents, spreadsheets, databases, and graphical products.
- Create charts and graphs for reports and presentations.
- Create basic macros to streamline administrative tasks and provide user instructions as needed.
- Perform basic troubleshooting of office systems and software and assist coworkers with common system or application issues.
- When required, receive, control, log, safeguard, and take appropriate action on classified materials in accordance with applicable security procedures.
Required Qualifications:
- Possesses U.S. citizenship.
- Possesses a high school diploma or GED.
- Working knowledge of Microsoft Office applications, particularly Access, Excel, and Word.
- At least 3 years' experience in administrative, clerical and data entry work including correspondence processing, records management, mail handling, scheduling, file maintenance, and general office operations.
- Excellent written and verbal communication skills, with an eye for detail and proper grammar.
- Employees must be proficient in using computer and electronic systems/databases in accordance with administrative and help desk tasks.
- Familiarity and knowledge of AFI-36-3009, M&FRC program desk guides, AFFIRST training guides, and the AFFIRST and TAP ACCESS database systems.
- Knowledge of and/or experience with Air Force terminology is preferred.
