The purpose of this role is to help families by managing the office calendar and meeting space to ensure clients have a warm welcome and a smooth onboarding experience. The primary responsibilities are to provide a warm welcome to all visitors, manage calendars and meeting rooms, facilitate client onboarding with payment and EA tracking, and client communication. Responsibilities: As a Front Desk Administrator, you will: • Greet clients, guests, attorneys, and employees. • Create a positive and professional first impression on behalf of the firm. • Welcome visitors, ensuring they are comfortable, offering beverages, snacks, and restrooms. • Keep the front office and entrance, internal and external, areas clean and stocked. • Responsible for ensuring the conference rooms' furniture, technology, window treatments, and appliances are cleaned and stocked. • Ensure restrooms are stocked, clean, and working correctly • Schedules calls and meetings, assuring the legal teams’ calendars are accurately maintained, organized in an achievable, logical, and efficient manner. Proactively manage the calendar to avoid conflicts. • Prepares and ensures the execution of engagement agreements as directed by the legal team. • Processes client payments accurately and before the end of the day. • Process all incoming mail, deliveries, and packages, and ensure they get to the proper person; and assist with outgoing mail. • Open and create the client files, both open electronic files in Client Management Software and the cloud, and create a physical file. • Help Client Relationship Managers and the Legal team prepare for daily meetings by preparing files and placing the information on the appropriate desk before they arrive each morning. • Update Client Management Software tasks daily. • Perform other general office duties as requested. Qualifications: Required Skills/Abilities: • Ability to multi-task in a fast-paced environment. Must be able to maintain a pleasant and calm demeanor under stress/uncertainty. • Excellent verbal communication skills. • Excellent interpersonal and customer service skills. • Strong attention to detail. • Basic understanding of administrative and clerical procedures and systems. • Proficient with CRM database, Microsoft Office, and Mac OS. Compensation: $20.50 hourly
