Job Title: Front Desk Associate
Location: Bilingual Speech – Language & Swallowing Therapy
Reports to: Director of Operations
Position Summary:
The Front Desk Associate plays a vital role in the smooth and efficient operation of the office. This individual is responsible for managing daily front desk activities, supporting administrative functions, and ensuring a positive experience for all patients and visitors. The ideal candidate is highly organized, customer-service oriented, and able to manage multiple tasks in a fast-paced environment.
This position is ideal for candidates with 1–3 years of front desk, administrative, or customer service experience, preferably in a healthcare or office setting. Bilingual abilities in Spanish or Mandarin are strongly preferred.
Key Responsibilities:
Create and maintain a welcoming and professional environment for all visitors and staff
Greet patients and clients upon arrival, ensuring a friendly and efficient check-in process
Answer incoming phone calls, respond to emails and text messages, and manage appointment scheduling
Maintain a clean, organized, and inviting front desk and waiting area
Collect and review new patient forms, including medical history and required documentation
Assist patients with completing paperwork (e.g., demographic forms, release of information)
Update and verify patient information such as insurance details and payment methods
Collect co-pays and other payments; follow up on outstanding balances or payment plans
Manage and update patient therapy schedules using scheduling software
Support therapists with scheduling changes and time-off requests
Ensure intake forms are up to date and comply with clinic or office protocols
Qualifications:
1–3 years of experience in a front desk, administrative, or customer service role (healthcare or office setting preferred)
Excellent verbal and written communication skills in English; fluency in Spanish or Mandarin is a strong plus
Strong customer service and interpersonal skills
Detail-oriented with strong organizational and multitasking abilities
Proficient with computers and scheduling or EMR software (training available)
Positive attitude, strong work ethic, and ability to work well in a team environment
Ability to translate information and support non-English-speaking patients as needed
