Job Summary
The Dermatology Front Desk Associate serves as the first point of contact for patients. This role requires a blend of warm patient hospitality, efficient multi-tasking, and accuracy in medical administration. You will manage scheduling for both medical dermatology and cosmetic procedures, verify specialized insurance coverages, and answer basic questions regarding clinical skincare products. [1, 2, 3, 4]
Key Responsibilities
Patient Reception: Greet patients warmly, manage the check-in/check-out process, and maintain an organized, welcoming reception area. [1, 2, 3]
Complex Scheduling: Coordinate high-volume appointment calendars, strategically balancing medical emergencies, biopsies, surgeries (like Mohs), and cosmetic treatments. [1]
Insurance Verification: Collect, scan, and verify health insurance cards. Ensure prior authorizations, referrals, and clear clinical notes are secured before the patient's visit. [1]
Financial Collection: Collect co-pays, deductibles, and out-of-pocket fees for cosmetic services (e.g., Botox, fillers, lasers) using the practice management software.
Patient Intake: Assist patients with electronic intake forms, ensuring medical histories, allergy lists, and privacy notices are fully completed.
Product Knowledge: Learn the practice's medical-grade skincare retail lines to confidently answer basic patient questions and process retail sales.
Communication Management: Filter high-volume phone calls, routing clinical questions to the nursing/MA staff and managing the office voicemail and online appointment requests. [1]
Required Qualifications
Travel Requirement: Must have a valid driver’s license, reliable personal transportation, and the flexibility to commute to at least two of our three regional offices (Robbinsville, Somerset, and Edison) as assigned.
Education: High School Diploma or equivalent required (Associate or Bachelor’s degree preferred).
Experience: Minimum of 1–2 years of medical front desk experience (prior experience in dermatology, plastic surgery, or a medical spa is highly preferred).
Software: Proficiency with Electronic Health Records (EHR) and Practice Management systems (e.g., EMA/ModMed, eClinicalWorks, or Nextech).
Skills: Strong understanding of medical terminology, health insurance structures (PPOs, HMOs, Medicare), and copay collections. [1, 2, 3, 4, 5]
