    VABODE Behavioral Health has an IMMEDIATE OPENING for a well qualified Office Assistant who has experience in a medical or mental health setting to work in our Chesterfield, VA office location. This person will work Monday - Thursday from 8:30-3:00 pm and Friday 8:30-12:00 pm. The Office Assistant provides general administrative and clerical support to ensure the smooth and efficient operation of the office.

    Primary Responsibilities:

    • Answering and directing phone calls, managing incoming and outgoing mail and email, taking messages, and potentially handling some customer service inquiries.

    • Organizing and maintaining physical and digital files, managing databases, and updating paperwork.

    • Scheduling appointments, meetings, and conference rooms, and coordinating travel arrangements for clients.

    • Ordering and managing office supplies, maintaining inventory, and ensuring the office environment is clean and organized.

    • Greeting visitors, providing information, and ensuring they are directed to the appropriate person or area.

    *Assisting with tasks like data entry, document preparation (including formatting and proofreading), basic bookkeeping, and preparing reports or presentation.

    Skills and Qualifications:

    *Excellent verbal and written communication skills are essential for interacting with colleagues, clients, and visitors.

    *The ability to manage multiple tasks, prioritize effectively, and maintain organized records is crucial.

    *Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office equipment (printers, scanners, etc.) is typically required.

    *The ability to identify and resolve issues independently is valuable.

    *Being reliable and punctual is important for ensuring the smooth running of the office.

    *Previous experience in an administrative or clerical role is preferred.
