    Front Desk Office Assistant

    Position Summary

    The Front Desk Office Assistant serves as the first point of contact for Native C.O.R.E. and plays an important role in creating a welcoming, respectful, and supportive environment for clients, community members, staff, and partner agencies.

    This position provides administrative and front office support while assisting with scheduling, referrals, outreach support, client communication, and daily office operations. The Front Desk Office Assistant works closely with the Office Manager and Native C.O.R.E. staff to help ensure services are delivered professionally, efficiently, and with cultural sensitivity.

    Essential Duties and Responsibilities

    Front Desk & Reception Duties

    Greet clients, visitors, and community members in a professional and welcoming manner

    Answer incoming phone calls and assist with general office inquiries

    Direct individuals to appropriate staff, services, or community resources

    Maintain a clean, organized, and welcoming front office environment

    Scheduling & Office Coordination

    Schedule appointments and assist with staff calendars as needed

    Provide appointment reminders and assist with client check-ins

    Assist with coordinating meetings, training, and community events

    Administrative Support

    Perform general office duties including filing, copying, scanning, faxing, and document organization

    Enter and maintain accurate data and client information in electronic and physical records

    Assist staff with administrative projects and office support tasks

    Support mail distribution, supply organization, and office inventory

    Client & Community Support

    Provide information regarding Native C.O.R.E. programs, services, and available community resources

    Assist with referrals to treatment programs, housing resources, behavioral health services, and community agencies when appropriate

    Maintain professionalism and confidentiality while handling sensitive information

    Facility & Office Support

    Help maintain office cleanliness, safety, and organization

    Report maintenance, safety, or security concerns to leadership

    Assist the Office Manager and leadership team with daily operational needs

    Team Collaboration

    Work collaboratively with Native C.O.R.E. staff and community partners

    Attend staff meetings, training, and organizational activities as required

    Demonstrate professionalism, reliability, teamwork, and cultural respect in all interactions

    Qualifications

    High school diploma or equivalent required

    Previous office, customer service, reception, or administrative experience preferred

    Strong communication and interpersonal skills

    Ability to multitask and remain organized in a fast-paced environment

    Basic computer skills including Microsoft Word, Excel, Outlook, and data entry systems

    Ability to maintain confidentiality and handle sensitive information appropriately

    Dependable, professional, and able to work independently and as part of a team

    Experience working with Native American communities or underserved populations is preferred but not required
