    Job description

    Schedule: Monday - Friday, 8AM - 5PM

    We are looking for a receptionist to manage our front desk daily and perform various administrative and clerical tasks. As a receptionist, you will be the first point of contact for our company. Our receptionist’s duties include offering administrative support across the company. You will welcome guests and receive people who visit the business positively and execute all administrative tasks to the highest quality standards. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

    To be successful as a receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies quickly and effectively while streamlining office operations. Multitasking and stress management skills are essential for this position.

    Responsibilities:

    Greet visitors appropriately, determine visitor needs in a professional manner

    Direct visitors to the correct person.

    Disburse safety paraphernalia, if needed with onsite customers or visitors

    Monitor people coming and going through the reception door

    Ensure back up when absent from receptionist desk

    Answer and address incoming phone calls in a timely and polite manner

    Manages Associated Truss & Lumber contact lists, including phone and email

    Determine the purpose of the call to transfer to the applicable person or department

    Distribute daily mail to the appropriate person or department

    Maintain postage inventory

    Distribute inbound and outbound freight packages

    For all inbound packages, verify product to the packing slip, notifying recipient by email

    Maintain and order office, janitorial, postage, and vending supplies as needed

    Coordinate staff meetings and assign time to the conference room

    Coordinate service calls for office equipment/vending machines

    Maintain company information logs on an excel spreadsheet

    Ensure knowledge of salesperson to work in the office by day

    Ensure knowledge of staff movements in and out of office

    Perform any other office tasks assigned to do in spare time

    Qualifications and Skills:

    3–5 years of customer service experience preferred

    High School diploma or GED equivalent required.

    Proficient in the use of Microsoft Office; Word, Excel & Outlook, and Power Point

    Professional verbal and written communication skills

    Reliability: Be able to come to work on time each day.

    Ability to thrive in a faced paced, constantly changing environment.

    Ability to multitask and work independently with little supervision

    Strong organizational and time management skills
