About the Position
Caring Hands Home Health is seeking an organized, dependable, and professional Front Desk Coordinator to manage the daily flow of our front office.
This position serves as the central point of contact for caregivers, clients, applicants, visitors, and office staff. The Front Desk Coordinator is responsible for keeping front-office operations organized, ensuring calls and visitors are directed appropriately, assisting employees with routine needs, and providing administrative support across departments.
We are looking for someone who can take ownership of the front desk, communicate effectively, manage multiple priorities, and maintain a welcoming and professional environment throughout the day.
Key Responsibilities
Front Office Coordination
Manage the daily operations and organization of the front desk and reception area.
Greet and assist caregivers, clients, applicants, visitors, and vendors.
Ensure visitors and employees are connected with the appropriate department or team member.
Maintain a professional, welcoming, and organized front-office environment.
Monitor front-office activity and communicate important information to appropriate staff.
Phone & Communication Management
Answer and route incoming calls using a multiline phone system.
Take accurate and detailed messages and ensure timely delivery.
Assist callers with general questions and direct HR, Scheduling, Payroll, and client-related concerns appropriately.
Monitor general front-office communications and respond or route inquiries as needed.
Caregiver & Employee Support
Assist caregivers with basic Paylocity access, password resets, and locating pay stubs.
Direct payroll, scheduling, HR, and benefits questions to the appropriate department.
Assist employees who visit the office with general questions and documentation needs.
Maintain professionalism when handling employee concerns or sensitive information.
Applicant & New Hire Support
Welcome applicants arriving for interviews, walk-in hiring events, orientation, and training.
Assist applicants with basic application and onboarding questions.
Notify HR or Talent Acquisition when scheduled candidates arrive.
Help ensure orientation and hiring materials are prepared and organized as needed.
Administrative & Document Support
Scan, copy, fax, upload, organize, and file documents.
Assist with data entry and maintaining accurate office records.
Receive, sort, and distribute incoming mail, packages, and documents.
Maintain confidentiality when handling employee, caregiver, applicant, and client information.
Assist departments with general administrative projects as assigned.
Office Coordination
Monitor office supply levels and coordinate replenishment as needed.
Help maintain shared office spaces and ensure the front office remains presentable.
Assist with employee engagement activities, meetings, orientations, and office events.
Coordinate routine front-office needs to help daily operations run efficiently.
Provide administrative support to HR, Scheduling, Payroll, and other departments as needed.
What We're Looking For
Required Qualifications:
High school diploma or equivalent.
At least 2–3 years of administrative, front desk, office coordination, or customer service experience.
Strong verbal and written communication skills.
Excellent customer-service and interpersonal skills.
Ability to manage a high volume of calls, visitors, and competing priorities.
Strong organizational and time-management skills.
Proficiency with Microsoft Outlook, Word, and Excel.
Comfortable learning and working with multiple computer systems.
Strong attention to detail and follow-through.
Dependable attendance and punctuality.
Ability to handle confidential and sensitive information appropriately.
Preferred Qualifications:
Previous healthcare, home care, or medical office experience.
Experience with multiline phone systems.
Experience with Paylocity or similar HR/payroll software.
Experience supporting multiple departments in a fast-paced office.
CNA/PCA experience or knowledge of the home care industry is a plus but not required.
