SUMMARY
Responsibility for performing a variety of administrative activities to support the Administrative Manager, as described below.
Carries out responsibilities in accordance with Champion Fiberglass’ policies and applicable laws.

REQUIRED COMPETENCIES/ ESSENTIAL DUTIES & RESPONSIBILITIES

Must be able to speak, read and write in English or Spanish.
Capable of understanding and supporting quality, environmental, occupational health and safety requirements, as applicable to this position.
1. Provides administrative support to ensure efficient operation of the office.
2. Answers phone calls and supports visitors.
3. Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
4. Exhibits polite and professional communication via phone, e-mail, and mail.
5. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies.
6. Contributes to team effort by providing time management, computer proficiency, attention to detail, communication, organization, adaptability, problem-solving, customer service, multi-tasking, and confidentiality.
7. Contributes to team effort by working well with others and the ability to work independently.
Logistics
1. Provide shipping information and request quotes from various freight carriers.
2. Invoice truck shipments weekly by coordinating with point of contact’s, verifying correct shipping information and scheduling delivery appointments.
3. Invoice LTL, UPS, Will Calls, consignment, and release orders.
4. Provide information by answering questions, researching orders, provide tracking information, and POD requests for customers.
5. Process and follow up on freight invoice disputes/claims.

QUALIFICATIONS

EDUCATION, EXPERIENCE, OTHER SKILLS
High School graduate; plus 1 to 3 years’ human resources/personnel supervisory experience – or equivalent combination of education and experience.
Excellent communication and interpersonal skills.
The ability to speak and communicate in Spanish is desirable.
Able to exercise effective judgment, sensitivity, creativity to changing needs and situations.
Computer skills or training (1 – 3 years’ experience): MS Office applications: E-mail, word processing, spreadsheet.
