    The Front Desk Receptionist is the first and last impression of Shot Bar Medspa. This role is critical to creating a seamless, welcoming, and organized experience for every patient. The ideal candidate is polished, detail-oriented, tech-savvy, and thrives in a fast-paced, client-facing environment.

    This position requires professionalism, discretion, strong communication skills, and the ability to multitask while maintaining a calm and friendly demeanor.

    Patient Experience & Front Desk Operations

    Greet all patients warmly and professionally upon arrival

    Check patients in and out efficiently while maintaining privacy and HIPAA compliance

    Answer phones, respond to texts/emails, and manage appointment inquiries

    Ensure the waiting area, front desk, and retail displays are clean, organized, and on-brand

    Scheduling & Administrative Support

    Schedule, reschedule, and confirm appointments accurately

    Manage provider schedules and flag gaps, cancellations, or overbooking

    Collect payments, process memberships, packages, and retail sales

    Handle intake forms, consent documents, and patient records with accuracy

    Systems & Compliance

    Utilize Zenoti (or comparable medspa software) for scheduling, payments, and records

    Maintain HIPAA compliance and patient confidentiality at all times

    Communicate clearly with providers and management regarding patient flow

    Qualifications

    1+ year experience in a front desk, receptionist, hospitality, or medspa setting preferred

    Strong interpersonal and communication skills

    Professional appearance and customer-service mindset

    Comfortable with point-of-sale systems, scheduling software, and basic computer tasks

    Ability to multitask, prioritize, and remain composed under pressure

    High attention to detail and organizational skills
