Job Summary
Window World Front Desk Receptionist and Customer Service Representative will work with both current and potential customers in a variety of tasks. Day-to-day, this person will manage a high volume of inbound/outbound calls and work within a customer relations management tool (CRM) to schedule appointments and record customer data.
Key Responsibilities Client & Call Management
Answer all incoming calls to the local office, identify client accounts, and route calls to the appropriate department or team member.
Greet showroom guests professionally and guide potential clients through available samples.
Confirm appointments and assist with lead setting to support sales efforts.
Sales Lead Setting
Proactively set and manage sales leads in coordination with design consultants.
Ensure accurate documentation and follow-up of all incoming leads.
Support lead conversion by scheduling appointments and maintaining lead tracking systems.
Sales & Contract Support
Upload property appraiser floor plans and relevant property information into the system.
Communicate effectively with design consultants to ensure smooth operations.
Review, prepare, and submit new contracts for netting.
Schedule PIS/re-measure appointments in 360 after contracts are netted.
Scan and record received documents from design consultants in the 360 system.
Sales Administration
Maintain and update the local office sales board.
Ring the sales bell for every new contract received in 360.
Send daily recap emails to the VP of Sales summarizing previous day’s sales, quotes, and leads.
Track and report sales data for weekly recap meetings.
Send daily emails to design consultants outlining completed installs, payments received, and happy clients for referral opportunities.
Payroll & Reporting
Review, prepare, and submit design consultant payroll accurately and on schedule.
Executive Support
Assist the VP of Sales with administrative tasks including:
Drafting and distributing agendas for sales meetings.
Managing email communications with design consultants.
Coordinating manufacturer sample requests and follow-ups.
Supporting demo/no-sale rehash efforts and ongoing installation follow-ups for site visits.
