    Job Summary We are seeking a professional and detail-oriented, friendly and service-oriented Front Desk Representative to join our team at our medical spa. This role serves as the first point of contact for clients, ensuring a welcoming environment and a top-quality experience. Responsibilities include managing front desk operations, supporting client relations, maintaining organization and cleanliness, and assisting management with administrative tasks. As a Front Desk Representative, you will be the first point of contact for our clients. You will greet customers as they arrive, book appointments, answer phone calls, and collect payment information. The ideal candidate has a cheerful disposition, excellent communication, and computer skills, and is capable of multitasking.

    Responsibilities

    Greet customers as they arrive and provide an excellent customer experience

    Answer phone calls, responds to emails, and schedule appointments

    Assist clients with paperwork, including consent forms, ensure all consent forms are signed, filed, and maintained accurately

    Maintain a clean and inviting environment

    Provide general customer service and attend to the needs of customers throughout their services

    Process client payments and manage follow-up scheduling

    Utilize scheduling software (GlossGenius or Vagaro preferred)

    Monitor and update inventory; communicate low stock to management

    Maintain organization and cleanliness of the center, including towels, supplies, and garbage disposal

    Assist with morning preparation (coffee, supplies, treatment rooms) and closing reset procedures

    Complete tasks assigned by the Administrative Coordinator or Manager in a timely and accurate manner

    Qualifications

    High school diploma or equivalent required: Two or more years of experience as a receptionist or similar role, estetics is preferred

    Excellent communication skills and interpersonal skills with a commitment to customer service

    Strong work ethic and positive attitude

    Familiar with computers and scheduling software, such as GlossGenius or Vagaro (preferred)

    Proficiency with Microsoft Word, Google Docs, Google Sheets, and other office technology

    Excellent organizational skills with attention to detail

    Excellent multi-tasking skills and manage time effectively in a fast-paced environment

    Knowledge of esthetics/spa services (preferred)

    Customer service experience (preferred)

    Bilingual : English / Spanish (preferred)
