The Front Desk Spa Coordinator is a key team member responsible for ensuring the smooth operation of front desk activities and administrative spa duties. This role requires strong customer service skills, attention to detail, and the ability to multitask effectively. The Front Desk Spa Coordinator will serve as the first point of contact for clients, manage scheduling, assist with inventory, and support membership and rewards program processes.
Key Responsibilities
Customer Service & Front Desk Duties:
Answer phone calls and respond to text messages professionally and efficiently.
Greet and check in clients upon arrival.
Offer and provide water/beverage to clients.
Ensure all required consent forms are provided and completed by clients.
Upload client photos into charts.
Schedule, reschedule, and cancel appointments efficiently.
Follow up on leads.
Finalize membership sign-ups and assist with related inquiries.
Process payments and operate the cash register.
Assist with retail sales checkout.
Restock front desk retail area.
Organize and upkeep front desk area.
Open and close the spa according to established procedures.
Administrative & Spa Operations:
Perform monthly inventory retail checks and maintain organized stock of spa supplies.
Enter purchase orders into AR system.
Receive and verify purchase orders.
Generate and review monthly Rewards Program & Membership Reports.
Ensure that event and class checklists are fully completed.
Restock, upkeep, and organize spa supplies as needed and common areas.
Skills & Qualifications:
Must be bilingual (English and Spanish preferred).
High school diploma or equivalent required.
Strong communication and customer service skills.
Detail-oriented with excellent organizational abilities.
Ability to multitask and work in a fast-paced environment.
Experience with scheduling software and basic administrative duties preferred.
Knowledge of spa or medical aesthetics industry is a plus.
Proficiency in handling cash transactions and inventory management.
