Job Summary
Well Rooted Pediatrics is seeking a friendly, dependable, hard-working Front Office Receptionist & Medical Assistant to join our growing team. This hybrid position is ideal for someone who enjoys both patient interaction and providing clinical support. The ideal candidate has at least one year of medical office experience, thrives in a fast-paced environment, and is passionate about delivering exceptional customer service to children and their families.
As the first point of contact for our patients, you will create a welcoming experience while managing front office responsibilities such as scheduling appointments, answering phones, verifying insurance, and collecting payments. In addition, you will assist providers with patient care by preparing exam rooms, rooming patients, documenting information, coordinating laboratory testing, managing prescriptions, and maintaining clinical supplies.
This position requires excellent organizational skills, attention to detail, the ability to multitask, and a positive, team-oriented attitude.
Responsibilities
Front Office Responsibilities
Welcome patients and families while providing outstanding customer service.
Answer and direct incoming phone calls professionally.
Schedule, confirm, and reschedule patient appointments following office scheduling guidelines.
Verify patient demographics, insurance eligibility, and benefits.
Collect copays, balances, and self-pay fees while accurately posting payments.
Assist patients with registration forms, consent forms, and other required documentation.
Maintain accurate patient information within the electronic health record (EHR).
Scan, fax, file, and retrieve patient records as needed.
Maintain a clean, organized, and professional reception area.
Assist with administrative projects and other office duties as assigned.
Clinical Medical Assistant Responsibilities
Prepare patient charts prior to appointments by reviewing documentation, laboratory results, and visit needs.
Room patients by obtaining vital signs, medical history updates, and medication reconciliation.
Prepare exam rooms and medical equipment before patient visits.
Assist providers during examinations and procedures.
Administer vaccines, medications, and perform clinical procedures within scope of practice.
Collect laboratory specimens and coordinate outside laboratory testing.
Track laboratory and imaging results to ensure timely follow-up.
Communicate normal and abnormal results to families as directed by providers.
Clean and sterilize instruments and exam rooms following infection control protocols.
Monitor and maintain clinical inventory and medical supplies.
Qualifications
High School Diploma or GED required.
Minimum of 1 year of experience working in a medical office.
Medical Assistant certification preferred (CMA, RMA, CCMA, or equivalent).
Current BLS Certification preferred.
Pediatric experience is a plus.
Strong knowledge of medical terminology
Excellent verbal and written communication skills.
Exceptional customer service and interpersonal skills.
Strong attention to detail and organizational abilities.
Ability to multitask and prioritize in a busy pediatric office.
Comfortable working independently and as part of a collaborative team.
