    TITLE:                          Traffic Safety Fiscal Assistant       

    SECTION:                      P06858  

    HIRING SALARY:          $35,568.00 annually  

    HOURS:                         8:00 A.M. – 5:00 P.M., Monday – Friday, with some evening and weekend exceptions

    MAJOR FUNCTION: The Traffic Safety Fiscal Assistant is a grant funded position housed at the Florida Department of Transportation.  The position reports directly to the Traffic Safety Administrator at the Florida Department of Transportation and is responsible for tracking subgrant award and reimbursement processes.    

    PRIMARY DUTIES INCLUDE, BUT ARE NOT LIMITED TO: 

    • Document and track the processing of claims for reimbursement received by the FDOT State Safety Office
    • Create and maintain expenditure tracking spreadsheets
    • Scan claims for reimbursement and transmit for payment
    • Annually archive subgrant files
    • Reconcile monthly payment logs to actual payment vouchers
    • Log concept papers received by FDOT State Safety Office
    • Create and mail concept paper notification letters
    • Log equipment certifications
    • Reconcile paper and electronic files
    • Review, create, and edit miscellaneous documents and correspondence
    • Create forms required for subgrant execution (debar, risk, indirect)
    • Facilitate document execution via the departments DocuSign system
    • Enter data in state and federal systems (FFATA, SAM, and GTS)
    • Send notifications to staff regarding the status of pending claims, subgrants, and monitoring’s
    • Track and mail safety items for distribution

    MINIMUM TRAINING/EXPERIENCE: Bachelor’s degree from an accredited college or university and previous experience as a staff assistant, support staff, secretary and/or related work experience requiring employee to be responsible for operations, management assistance or administrative related work.  Professional and non-professional experience may substitute on a year for year basis for the required college education. 

    KNOWLEDGE, SKILLS AND ABILITIES:   Ability to understand and apply applicable rules, regulations, policies, and procedures. . Ability to review reimbursement claims against budgets.  Experience reconciling and reviewing financial reports. Excellent skills in the use of computers using word processing, spreadsheets, email, and Adobe.  Excellent written and verbal communication skills.  Ability to apply sound judgment and problem-solving skills.  Ability to work independently and as a team player.  Ability to work with a wide variety of people.   Ability to plan, organize, and coordinate work assignments using good time management skills.
