Customer Service Specialist
Job Description
· Communicates with customers via phone, email, fax, letter or in person and receives orders for processing sales orders, purchase orders, invoices, order cancellation or change in product/delivery.
· Manages HUBs. Enters PO based on forecast, invoicing per customer’s Pulls. Communicates with each Hub location for providing smooth operation.
· Actively calls customers to maintain existing business and solicit sale of new or additional service.
· Adjusts complaints concerning billing or service rendered, referring complaints of service failures to designated departments for investigation.
· Updates spreadsheets for specified customers and related vendors.
· Creates commercial invoices and sends to customer and/or forwarders. Follows up on product deliveries with forward up to product’s destination. Obtains POD if needed.
· Supports sales manager and/or sales representative by providing requested information and assisting with problem solving.
· Supports Accounting Department by providing requested and necessary information and assisting with problem solving.
· Issue sales order acknowledgement to customers, based on factory delivery confirmation.
· Regular run the backlog report to ensure that that committed delivery schedule is undertaken
· Prepares required weekly and forecast reports on a timely manner.
· Files documents as needed.
· Handles RMAs and act as liaison between customer, FAI and factory.
