Job Description
Fujitec America is looking for an Office Manager to join our team in our Los Angeles office. The Office Manager is responsible for overseeing the general administrative functions and any events or activities in the office.
The ideal candidate will have prior administrative experience working in an office supporting multiple levels of employees. He/she greets visitors and should present an accessible and approachable tone as well as have excellent communication skills. The ideal candidate has a healthy initiative and can anticipate needs.
JOB SUMMARY
Manage office operations and procedures by performing personally or through subordinate employees: customer service, dispatching, accounting, preparation of payroll, information management, filing systems, requisition of supplies, and other administrative functions.
DIRECT REPORTS
1- Administrative Assistant
ESSENTIAL DUTIES
- Manage accounts payables and accounts receivables.
- Manage union employee’s payroll related information and ensure proper processing of weekly payroll.
- Maximize office productivity through proficient use of appropriate software applications and communication.
- Research and develop resources that create timely and efficient workflow as it relates to the office.
- Manage procedures for systematic retention, protection, retrieval, transfer, and disposal of records per corporate guidelines.
- Manage incoming calls and dispatch service personnel.
- Review administrative and personnel records to ensure completeness, accuracy, and timeliness.
- Maintain contact with customers, outside vendors and headquarters.
- Conduct research, compile and generate reports.
- Coordinate and arrange meetings, prepare agendas and record meeting notes.
- Maintain office procedures.
- Complete other duties as assigned such as interview, hire, train employees; plan, assign, and direct work; appraise performance, reward and discipline employees and address complaints and resolve problems. `
JOB QUALIFICATIONS
- Education: Bachelor’s in related
- Experience: Minimum 2 years in administrative and/or office management roles
- Elevator industry experience a plus.
- Office 365 proficiency

PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
