GEO Prep Baker is a part of a network of high-quality charter schools managed by the GEO Foundation. Working with GEO Prep Academy of GBR, GEO Mid-City and GEO Prep Academy in delivering a high-quality K-12 learning experience to students and their families in the Baton Rouge community. GEO Prep Baker is a tuition-free, public charter school. Our teachers cultivate critical thinking skills students need to understand how the world works around them. Our dedicated faculty are committed to providing an outstanding education for students each day as they transition from elementary to middle school to high school and COLLEGE. Our curriculum and teaching methods are designed using Core Knowledge in K-8 and a blended learning model in elementary school through high school. We are a TAP school!

REQUIRED QUALIFICATIONS:
An Associate degree or higher
Office and school management experience
Strong technical skills
Advanced experience working with data
Intermediate to advanced level of Microsoft and Google
Proven Power School experience
High level of organization
ESSENTIAL KEY FUNCTIONS:
The Office/Operations Manager performs the following key functions:
Assist Principal and staff in tasks as needed
Assist HR Dept with payroll processes
Keep Time and Attendance records for staff
Record and assist in Worker’s Comp, FMLA, Workplace Injury and OSHA processes
Check phone messages
Maintain switchboard and door security system (as needed)
Issue tardy passes for students not in class on time (as needed)
Order all office, cleaning and maintenance supplies for all buildings
Hire and contact subs as needed
Create forms and flyers as needed
Maintain all office machines and equipment
Supervise front office staff, registrar and custodians
Manage all operations to make sure school is safe and running smoothly
Order and sell school uniform shirts
Run Fundraiser
Process, design and print yearbook
Update phone directory listing for 21c
Track staff absences and hours worked using provided tracking method
Assist HR Department with onboarding new employees
Notify IT of new employee (to set up emails and issue door pass)
Set up employee file with copies of all enrollment paperwork and send originals to HR @ GEO
Collect all incoming cash and issue receipts
Record all transactions (incoming and outgoing) in check register
Complete deposit slips and deposit money at Chase Bank
File and maintain ECA & Athletic Accounting binders
Issue & track tickets for paid activities, complete state board of accounts form
Complete monthly bank reconciliations
Supervise and maintain lunch program
Process free lunch applications and mail letters to parents
Update Free/reduced/paid students as needed
Assist parents/students with concerns about lunch program
Close out current year and archive to prepare for next year
Run and maintain direct certification in PowerSchool
Order commodities monthly
Update monthly usage reports for GEO
Process PO’s using Spend bridge
Order all supplies, equipment, repairs as pos are approved
Incoming invoices with approved PO – stamp and attach packing slip, approved spend bridge request and PO
Incoming invoices without approved PO – stamp and attach any backup you have and submit for Principals approval
Process check requests and reimbursements using forms from A/P
Send all invoices, check requests and reimbursements, contracts (after making an office copy) to A/P at GEO
Enter new students into PowerSchool (as needed)
Maintain student’s changes (address, phone, contacts, etc), withdrawals (as needed)
Upload school photos
Run reports
Maintain student fees
Send out all calls per principal’s requests
Verify and/or assign STN numbers to new incoming students (as needed)
Run direct certifications for 21C and GMC
Attend all required staff meeting
Work harmoniously with all staff and school leadership
Uphold all school policies
ADDITIONAL REGRISTRAR DUTIES
Coordinate with student recruiter and school leadership on student enrollment
Assist with student recruitment planning and participate in student recruitment events as necessary
Meet with new prospective families to conduct school tours if needed
Train all staff on Power School and be the main contact/support
Assist in scheduling classes
Process and complete all incoming student information
Register all students
Process withdrawals and send records when requested
Maintain paper and electronic updated waiting lists for both schools
Contact families via phone and letters when openings are available
Maintain all lottery responsibilities according to state mandated regulations
Manage student attendance which includes monitoring and recording, oversee teacher’s daily recording, work with dean on attendance issues, communicate with parents regarding tardy and absent students
Attend all required staff meetings and attend designated school functions outside of school hours
Attend annual Power School training if required
