    Job Description

    Key Responsibilities:

    Accounts Receivable

    • Process check deposits and upload in digital document filing system.
    • Maintain AR files thoroughly and accurately.
    • Invoice creation.
    • Follow up on all income to be received.

    Accounts Payable

    • Review invoices for appropriate documentation and approval prior to payment.
    • Enter all vendor bills and posting to the pertaining account in bookkeeping software.
    • Match bills to checks, ACHs and wires.
    • Monitor accounts to ensure payments are up to date by running aging AP reports and reviewing open invoices.
    • Process payments for all client's business and personal accounts (Checks, ACHs, Wires, International Wires, Etc.).
    • Maintain AP files thoroughly and accurately.
    • Reconcile accounts on a monthly basis.
    • Resolve and verify all kinds of bank and book errors.

    Office Assistant

    • Maintain a safe and clean reception area.
    • Answer phones and reroute calls to appropriate department.
    • Schedule appointments.
    • Organize and prioritize large volumes of information and data.
    • Handle sensitive information in a confidential manner.
    • Order office and kitchen supplies.
    • Liaison with building’s property management and IT provider.

    Qualifications

    • 3yrs+ of experience in a busy, fast paced office as a accounts receivable, accounts. payable clerk or accountant/bookkeeper.
    • Bachelor’s Degree (If you do not have a 4 year degree, we will consider someone with 5 years of A/R and A/P experience.)
    • Good understanding of basic accounting principles.
    • Proven ability to calculate, post and manage figures and financial records.
    • Strong data entry skills.
    • Strong oral and written communication skills.
    • Ability to multi-task.
    • Proficiency with Microsoft Office programs (Excel, Word, and Outlook) is required. QuickBooks and Datafaction/AgilLink is a plus**
    • Ability to work independently and as part of a team.
    • Bilingual in English and Spanish.
