    Job Description

    PROJECT COORDINATOR

    RESPONSIBILITIES:

    Responsibilities include but are not limited to administrative Support to Project Managers and Principals.

    DUTIES:

    · Process, copy, file and maintenance of all paperwork for the office.

    · Print Documents: Coordination of Bid Documents printing with reprographics company.

    · Addenda: Coordination of addenda by either typing, copying for distribution to District or Construction Manager.

    · Specifications: Help by either typing, assembling and/or printing of specifications.

    · Division of the State Architect (DSA): Process, upload and obtain approval on all required agency forms thru project construction phase for DSA Closeout.

    · AIA Documents: ASl's, PR's, CCD and Change Orders - Prepare documents for review, obtain signature, copy, transmit via email, mail or overnight.

    · X-Drawings: Log in, copy and distribute. Issue to DSA for preliminary approval (if applicable). Maintain X-Drawing file.

    · RFl's: Log in, transmit to consultants, when applicable, and transmit responses to CM, Contractor, IOR. Log in all activity.

    · Submittals: Stamp, log-in, assign submittal number. Transmit to consultants, if applicable and log all information. Transmit reviewed submittals to the Contractor, Consultant, IOR, CM and District (when applies). File submittals.

    · Review contractor payment applications for approval. Update logs.

    · Mail: Making labels, packaging and distribution of all outgoing mail from the office.

    · Create files/ folders for all Studio Projects

    · Executive Assistant to all principals

    · Type letters and correspondence.

    · Answer phones.

    MINIMUM REQUIREMENTS: EDUCATION: High School Diploma with two (2) years college related courses preferred, or equivalent experience. EXPERIENCE: Minimum two (2) years general and administrative office experience. Minimum two (2) years of experience in supporting multiple projects and people. JOB SPECIFIC QUALIFICATIONS:

    • Proficiency in Microsoft Office Suite, including Word, Excel and Outlook. Project Management software experience is a plus.

    • Detail-oriented, multi-tasking, energetic, adept at succeeding in fast-paced environment.

    • Professional attitude and appearance.

    • Excellent communication and interpersonal skills (both written and verbal)

    • Excellent organizational skills and ability to establish priorities, objectives and deadlines with minimal supervision. COMMUNICATION

    • Responds promptly to client needs, solicits client feedback to improve service, responds to requests for service and assistance, meets commitments.

    • Speaks clearly and persuasively in positive / negative situations, listens and gets clarification, responds well to questions, demonstrates group presentation skills, effectively participates in meetings.

    • Writes clearly and informatively, edits work for spelling and grammar, presents numerical data effectively, able to read and interpret written data.

    • Ability to establish productive working relationships and to deal smoothly, effectively, and cooperatively with people at all levels. Listens without interrupting, keeps emotions under control. PRODUCTIVITY

    • Utilizes resources, establishes priorities, and organizes work to meet/complete required department, program, or firm deadline.

    • Demonstrates a high degree of knowledge of specific discipline to effectively meet objectives and identify and resolve problems in a timely manner.

    • Administration and reconciliation of Managing Principal calendars, task lists, and coordinating/planning meetings.
