GRIP TRAINING INSTITUTE is seeking a PROGRAM COORDINATOR to join our growing team. 

    POSITION OVERVIEW

    PRIMARY RESPONSIBILITIES  

    As a key player of the operations team, the Operations Coordinator will be responsible for providing critical and innovative support to three primary areas of the organization. This role is not static, it will evolve and be fine tuned as the organization continually evolves. Some responsibilities will become more prominent and others will recede at key inflection points. Reports to Operations Manager.


     

    ADMINISTRATIVE OPERATIONS 

    SUPPORT AND COLLABORATE WITH THE OPERATIONS MANAGER TO GUIDE VARIOUS INITIATIVES, OFFERING ASTUTE PROJECT MANAGEMENT, TECHNICAL SUPPORT, OFFICE MANAGEMENT, HUMAN RESOURCES, ACCOUNTS PAYABLE, AND EVENT COORDINATION. 

    OFFICE MANAGEMENT 

    • Support the smooth and productive functioning of the administrative office and its system. Offer a self-directed style in managing the office, its inventory, confidential files, records, mail/email/communications processing. 

    • Headquarters will be your domain so there is a natural host role in which you receive, orient and offer resourcefulness to guests, staff and others. Receive deliveries and disseminate to appropriate staff.

     

    EVENT COORDINATION 

    • Support with event coordination: Help manage and coordinate events, such as daylong meetings, overnight retreats, trainings, and GRIP program graduations and celebrations.

      

    HUMAN RESOURCES 

    • Support the human resource functions: from onboarding to offboarding and everything in between. Set up and train staff and facilitators with tech/software (computers, phones, apps, etc).

     

    ACCOUNTS PAYABLE 

    • Management of accounts payable: work with bookkeeper to process monthly accounts payable transactions, offer a detail orientation of financial activities: learn chart of account codes, set up, execute, and monitor account payments to vendors and contractors. Purchase supplies and inventory for office and on behalf of staff. Track and report this spending for our bookkeeper.

     

    LEADERSHIP SUPPORT 

    • Support Leadership with projects, presentations, new initiatives, and day to day operations, help to problem solve to keep initiatives moving forward. 

    • Increase your own and organizational capacity through volunteer management and supervision 

    • And other duties as determined by need.

     

    DEVELOPMENT/COMMUNICATIONS 

    SUPPORT THE DEVELOPMENT ASSOCIATE AND COMMUNICATIONS TEAM ON A RANGE OF PROJECTS FOR FUNDRAISING AND PUBLIC COMMUNICATIONS.

    • Collaborate with Development Associate to provide administrative, logistical, and practical support for fundraising campaigns, donor meetings, and presentations and events. Use of Bloomerang to process incoming donations, disseminate acknowledgment letters, and other communications. Track in-kind hours of volunteers for end of year financial reports. 

    • Provide assistance to our Communications Team (internal/external). This includes being trained to update our website, offering a good eye for copy editing, posting notices on social media, participating in disseminating materials, e-campaigns, brochures, newsletters, holiday cards.

     

    PRISON PROGRAMS

    SUPPORT PROGRAM MANAGER WITH THE OVERALL FUNCTIONING OF THE GRIP,  BREATH OF FREEDOM, AND CIRCLE OF LOVE PROGRAMS.

    • Support special events such as prison graduations, victims/survivors and special guests visits, orientations, trainings, etc.  

    • In collaboration with Programs, support data entry and analysis across domains.

    • Provide administrative support for internal/external contractor/facilitator recruitment, hiring and onboarding, as needed.

     

    THE IDEAL CANDIDATE WILL HAVE THESE SKILLS/EXPERIENCE: 

     

    • Bachelor level degree 

    • Love for collaboration 

    • Strong project management skills, experience in HR and Accounts Payable  

    • Experience in diverse, demonstrated ability to seek out and incorporate input from people of different backgrounds.

    • Fluency with Google Workspace (Google Docs, Sheets, Gmail, Google Calendar, Forms, Sites, Groups, Photos, etc.)

    • Experience working with various CRMs. For example, we currently use Bloomerang; openness to learning other CRMs, and communication tools: Zoom, SLACK 

    • Tech savvy: knowledge of PC and MAC operating systems, ability to troubleshoot, and patience to teach others 

    • Ability to be open, transparent while also practicing professionalism and confidentiality

    • Excellent writing/editing/proofreading and communication skills. 

    • Practice emotional intelligence and self-awareness; handle conflict skillfully.

    • Strong understanding of the impact of systems of oppression on communities of color.

    • A service orientation and willingness to work occasional evenings and weekends to support projects and events 

    • Willingness to travel to prisons and other remote locations for events and meetings 

    • Must possess a valid CA driver’s license and liability insurance

GRIP is a proven model for incarcerated people’s rehabilitation and healing, developed over 25 years in the California State prisons by founder Jacques Verduin, in collaboration with thousands of life-sentenced (with parole) incarcerated people.

    COMPENSATION & BENEFITS 

    This is a salaried, exempt position.  Salary range $58.5k - 63.5k (commensurate with experience).

    The GRIP Training Institute offers competitive benefits, including health and dental insurance, paid time off (PTO = 15 days, plus the days between Christmas and New Years), we recognize nine holidays each year, and offer two staff retreats (each year). This position entertains opportunities for growth!
