    Job Description

    SUMMARY

    The Sales Coordinator will support the sales staff and business development team to provide our customers with support and updates throughout the sales process as well as follow-upon on Sales Orders and daily contact with customers, sales representatives, and internal departments as needed.

    ESSENTIAL DUTIES AND RESPONSIBILITIES Complete administrative support projects for the Sales Department as assigned by the manager.

    • Manage and screen sales related phone calls and visitors to the office.
    • Screen sales related callers and direct them to the most appropriate departments.
    • Coordinate sales meetings, customer visits, and other onsite meetings
    • Follow up with leads generated and coordinate a response with the local Reps or Regional Sales Managers.
    • Manage phone calls to the company and direct calls to appropriated individuals
    • Screen incoming calls to the company to direct the caller to the most appropriate department
    • Maintain a high degree of confidentiality and discretion with the client, product, personnel, and sales information.
    • Review incoming Purchase Orders to ensure accuracy.
    • Using Epicor, enter Sales Orders and track them to shipment.
    • Interaction with Engineering and Customer Support to complete orders and provide customer status.
    • Contact customers to communicate shipping information and updates on their orders.
    • Maintain customer information in both Epicor and Salesforce.
    • Review all internal reports regarding Sales Orders and their status and action them, as necessary.
    • Support Sales Department in preparation of monthly and quarterly reports.
    • Provide customers and Sales Reps with Product Data Sheets and information.
    • Be familiar with GMS products and processes.
    • Provide assistance to Direct Manager, Sales Team and Sales Account Manager as needed.
    • Prepare accurate weekly & monthly sales, reports, plan for phone call preparation, participation, and updates to forecast in CRM.
    • Other duties as assigned.

     

    EDUCATION AND EXPERIENCE

    • Minimum 1 year successfully supporting a sales team or sales executive in an office setting.
    • Good time management, attention to detail, and organizational skills required.
    • Experience with Microsoft and Apple Mac computer environments.
    • Experience using virtual meetings software such as Zoom, GoToMeeting, MS Teams, and others
    • Some experience with Epicor and Salesforce CRM helpful but not essential.
    • High School Diploma or GED required. College degree preferred.
    • Must be a US Citizen or naturalized citizen

    • Advanced Proficiency in using MS Office (Word & Excel & PowerPoint), DropBox, MSTeam
    • Must be detail oriented and balance multiple projects simultaneously in a fast-paced environment
    • Require minimal supervision to successfully complete tasks and assignments.
    • Must possess the ability to successfully plan, prioritize and organize work activities and adhere to strict deadlines follow instructions, procedures, and policies; identify and solve problems
    • Must be conscientious about assignments and complete work in a timely, accurate and thorough manner
    • Ability to work independently and as a member of a team
    • Accurately document and log actions taken, perform other general office tasks as assigned.
    • Must demonstrate initiative and ownership of assignments/projects
    • Must report to work at scheduled time and maintain satisfactory attendance with limited unscheduled absences
    • Must exhibit a professional appearance and behavior and maintain satisfactory performance consistent with expectations of the position and GMS policies
    • Requires excellent communication skills, both verbally and in writing with executives, colleagues, and individuals, internal or external
    • Must possess strong interpersonal skills, able to effectively interact with all levels of employees and management
    • Must remain poised, professional, and diplomatic under pressure
    • Must possess the ability and desire to encourage and facilitate a positive and productive work environment for all employees
    • Limited travel required
    • Must be able to work the standard 8AM-5PM, Monday – Friday schedule and overtime as required
