The Administrative Assistant is a representative of Genesis and the administrative team, and a professional attitude is required. This position reports directly to the Operations Director and assists all 6 components of the administrative team (QM Director, HR Director, Operations Director, Program Administrator, Employment Coordinator & Health and Medication Manger). The Administrative Assistant is responsible for understanding the structure of the business and what is required (regulatory requirements) for each part of the administrative entity. This position manages a filing system to maintain pertinent regulatory information/documentation, attends all administrative meetings and works with the administrative team to enforce policies and procedures.
The Administrative Assistant assists with screening applicants for open positions.

Operations:
Maintain a system of internal controls, designed to provide assurance that the information for each division of the administrative team and the business is accurate, timely and reliable. (Power Forward Mtgs.)
Developing a tracking system to show and report any deficiencies.
Assist with identifying inconsistencies within the process, with staffing and programming.
Making recommendations to make systems more effective.
Hold administrative team responsible to provide department updates.
Communicate with admin. team on things needed, respond to texts/emails.
Develop correspondences with families, staff and Supports Coordinators.
Maintain/Update our social media accounts, Website, Instagram, Facebook
Order program supplies, (paper, pens, ink, tapes…) with proper approval.
Quality Management:
Assist QM Director with establishing policy and procedures that support our mission and vision
Attend QM meetings and take notes
Stay abreast of QM trainings and requirements (emails from ODP)
Human Resources:
Assist with finding relevant trainings
Assist HR Director with tracking staff trainings and required documentation
Prepare correspondences to communicate to staff all needed documentation
Program Administrator:
Assist with RLS meetings with includes sending reminders, making copies, handouts, ordering catering.
Assist as needed…
Health and Medication Manager:
Scanning documents to upload to OneDrive
Assist where needed…
Employment:
Assist Employment Coordinator with collecting service notes timely for each individual receiving services (Job coaching Job finding, etc)
Assist with tracking job support for individuals outside of our programs.
