    ABOUT THE ROLE:

    Seeking organized and personable CUSTOMER SERVICE REPRESENTATIVE/PROCESSOR responsible for client coordination, customer service and office support.

    KEY RESPONSIBILITIES

    Contributes to team effort by accomplishing related results as needed:

    Client Coordination

    • Input and process purchase orders with new and existing clients to help fulfill customer orders
    • Ensure accuracy and completeness in order fulfillment
    • Communicate with customers to update order fulfillment timeline
    • Follow up with customer after delivery to track satisfaction

    Project Accounting

    • Review and enter expenses for orders being processed, coordinating with Sales Account Manager on any deviation from original ordering plan
    • Provide assistance to management with information on project profitability, revenue, margins, bill rates and utilization
    • Monitor receivables and assist Sales Team with collections

    Customer Service

    • Assist sales team handling basic questions regarding products, services and other company elements
    • Resolves product or service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution

    Office Support

    • Provide support answering phones, directing calls, taking complete messages
    • Assist management with daily office activities and/or special projects
    • General light office maintenance as required to maintain a professional atmosphere
    • Contribute ideas and suggestions to help streamline company policies and procedures

    Maintain Records

    • Create customer accounts by recording account information
    • Ensure project documents are complete, current, and stored appropriately in Quickbooks and customer information in Salesforce
    • Maintain complete customer and project files, keeping accurate written records/notes of any correspondence with clients or actions taken on company projects or files
    • Prepares product or service reports by collecting and analyzing customer information

    REQUIREMENTS

    • Customer Service: Works directly with the sales team and also retail customers to take process orders and insure quality of service. Being friendly and understanding their needs is crucial to the job
    • Computer Skills: Basic computer skills including word processing, Excel, QuickBooks and Salesforce
    • Time Management: Speed is of the essence. Being able to manage how much time is spent on a project is important
    • Excellent organizational skills; attention to detail, and accuracy
    • Deadline-Oriented with proven scheduling and time management skills
    • Strong communication skills and service orientation
    • Proficient in documentation and reporting
    • Dependability, persistence and independent
    • Customer service or office management experience is a must
