JOB SUMMARY
As executive assistant within these different intersections of real estate investment, property management and community development, you will be supporting executives within the Saleem & Co umbrella in maximizing their productivity via administrative and personal organizational tasks. The position is part-time and can be fulfilled remotely, with the exception of some tasks & company meetings or outings. In this capacity you will play many roles: * EXECUTIVE SUPPORT
Plans, coordinates and ensures schedules of assigned executives are followed and respected.
Communicates directly, and on behalf of the executive (as assigned) on matters related to the executive’s programmatic initiatives.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Works closely and effectively with the executives to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the executive’s ability to effectively lead.
Organize travel for the executive, including making flight, ground transportation, hotel, dinner, spa and other reservations.
Put travel plans on calendar and communicates plans to executive
Be in the know with commitments and obligations
Create and edit error-free documents, spreadsheets and presentations using Microsoft Office software.
Coordinate conference calls and in-person meetings, transcribe notes and type correspondence as needed.
Assists in coordinating the agenda of senior management team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
Office Support, as needed
Follows up on contacts made by the executive and supports the cultivation of ongoing relationships
QUALIFICATIONS
Bachelors degree strongly preferred
2+ years of experience as an executive assistant in real estate preferred
2+ years of experience as an executive assistant for a nonprofit preferred
Competence in operation of telephone, business calculator, copy machine, facsimile, personal computer/keyboard, Microsoft Office including Word, Excel and Outlook, and community software.
Ability to multi-task and prioritize is very important
Excellent communication and time management skills, strong attention to detail
Well-developed customer service skills
Adaptable and flexible style in working with all types of individuals
Demonstrate ability to diffuse and respond to the organization’s concerns to provide actionable solutions without having to escalate the problem.
Highly entrepreneurial and self-motivated, with the ability to work equally well on their own as well as in a team environment
Neat, clean, professional at all times throughout the workday and/or whenever present at the community.
