    Work Description: Program Assistant

    POSITION MISSION

    As the Program Assistant, you provide the clarity and operational support that allows the global GHV team to thrive in a season of growth and expansion. You navigate the systems and processes that connect a virtual and remote team across time zones and countries. Reporting directly to the Director of Operations and supporting the work of the CEO, you will manage the systems that power the day-to-day operations of GHV as well as playing an influential role in future iterations of the Operations team.

    YOUR LEGACY

    • Your systems work will enable GHV to increase operational efficiency and create greater transparency for teammates across multiple portfolios.

    • Over the past 2 years, GHV has grown from a core team of 15 to team of 40+Y. Your work on the Operations team will enable GHV to take on new strategic initiatives that reflect this massive season of growth and iteration.

                                                                                                                              

    ROLE OBJECTIVES

    As the GHV Program Assistant you

    1. SUPPORT MANAGEMENT OF KEY SYSTEMS that power the operational aspects of GHV.  Including but not limited to- invoicing, timesheets, recruitment trackers, contract deliverables, project management, and GHV internal resources.
    2. COORDINATE LOGISTICS of scheduling, calendars, meeting agendas, travel, and events for the CEO and select members of the leadership team.
    3. PROVIDE COMMUNICATIONS SUPPORT for internal and external newsletters, team meetings, cross team communication, and client partner needs.
    4. COLLABORATE ON STRATEGIC INITIATIVES that enhance the operational efficiency of the organization and position GHV for continued growth and iteration

    • You have worked in fast paced, virtual environments during seasons of growth
    • Colleagues would describe you as someone who is solution oriented when it comes to solving problems
    • Microsoft Office is your happy place and helping teach people how to better utilize Teams, Outlook, OneNote and OneDrive excites you
    • You may have spent time in entrepreneurial workspaces where growth is not always linear and priorities shift based on new projects or opportunities.
    • The phrase “building the plane while flying it” is something you're comfortable with and you're excited to build alongside us
    • You are known to synthesize disparate information into clear and concise action steps
    • Navigating competing priorities, calendar requests, and time zones are competencies previous managers might mention in describing your abilities
    • You may have been an executive assistant, an events manager, or a project manager previously and are looking to connect your attention to detail with an impact driven organization
    • You are resourceful, comfortable with ambiguity, and a self-starter. You like to work in a fast-paced, fiercely iterative environment and you are an enthusiastic collaborator.

    ROLE SPECIFICS

    • RATE: This is a Full-Time contract (1099) role set at a $38 - 43/HR. RATE based on alignment with the role and experience.
      •  Our team is currently all hourly regardless of staff or contractor status.
      • Due to the nature of this role needing full time support, this is a contract to hire role with the opportunity to move into a Full-Time staff (W2) position.
    • LOCATION: This is a fully remote, virtual role. While we are a global organization, we can only consider candidates for this role who are based in the US.

    • ROUND 2: VIDEO INTERVIEW + TASK
      • Applicants moving to the second round will be asked to submit a work task and schedule a video interview call.
    • ROUND 3: FINAL INTERVIEW
      • Applicants moving to the final round will participate in an interactive, half day, virtual interview with multiple members of the leadership team.
