    Job Description

    If you are a clear communicator, critical thinker, and highly motivated professional with a keen interest in U.S. public diplomacy efforts and foreign affairs, this is the position for you!

    The Program Coordinator is responsible for providing administrative, logistical, and programmatic support for the successful implementation and delivery of the U.S. State Department’s International Visitor Leadership Program (IVLP) and other Global Ties AZ fee-for-service and educational programs.

    The Program Coordinator is an integral part of the Global Ties AZ team. The position requires a professional with a combination of interpersonal, customer service, administrative, and programmatic skills, as well as a person that is highly energetic, detail-oriented, and has the ability to handle multiple projects, priorities, and personalities at a time. It also requires the ability to use databases, spreadsheets and online tools, as well as considerable experience and demonstrated knowledge of virtual communications platforms such as Zoom, GoogleMeet, Microsoft Teams and other.

    This position works in close cooperation with and directly reports to the Global Ties AZ Executive Director. The position’s key responsibilities include (but are not limited to):

    1. Researching and sourcing quality leads for prospective program resources to engage with incoming international delegations;
    2. Drafting and submitting impactful proposals that fit the needs of National Partner Agencies (NPAs) and other visiting international groups;
    3. Coordinating logistics for virtual, hybrid, or in-person programming as appropriate;
    4. Serving as a liaison between local resources, NPAs, and program participants;
    5. Hosting and/or leading virtual or in-person program engagements (IVLP or other) as required;
    6. Maintaining and regularly updating local resource and program participant data in shared folders, databases and spreadsheets;
    7. Working with community partners and local resources to schedule appointments, meetings, and/or engagements for program participants;
    8. Working individually and with intern(s) to develop attractive and informative program-related materials for program participants;
    9. Work with the ED, intern(s), and other staff as necessary to prepare pertinent program-related information and content for distribution and sharing across communications channels (website, social media, newsletter and other marketing avenues).

     

    OTHER ESSENTIAL FUNCTIONS & DUTIES

    • Provides administrative, logistical, and programmatic support.
    • Works closely with contacts at National Partner Agencies (NPAs) and community partners and resources to provide program-related customer service support.
    • Works with the ED to set programming goals and priorities and develop new types of programming.

     

    OTHER RESPONSIBILITIES

     

    • Attend and complete all necessary trainings as assigned.
    • Attend meetings and events in the field.
    • Attend various program and event activities.
    • Attend quarterly Board of Directors meetings to provide program updates.
    • May be required to adjust work schedule accordingly to accommodate scheduled programs (ie - evenings and/or weekends depending on program needs).
    • Other administrative tasks and duties as assigned.

     

    MINIMUM QUALIFICATIONS

     

    • 4-year degree in a related field and preferred two years of administrative work experience, preferably in a not-for-profit, internationally-focused work environment.
    • Experience coordinating multiple logistics and schedules.
    • Ability to establish and maintain effective working relationships with staff, contacts at partner agencies, stakeholders, board members and program participants.
    • Ability to communicate effectively with various program stakeholders as well as professionals from around the world.
    • Comfortable leading and facilitating conversations in online settings.
    • Ability to establish and maintain effective working relationships with staff, contacts at partner agencies, stakeholders, board members and program participants.
    • Tech Savvy: Demonstrated experience with MS Office (including Excel, Word, and Power Point), CRMs, project management software, and/or other Internet-based or desktop databases and software, online design software (such as Canva) and virtual communications platforms (Zoom, GoogleMeet, etc.), use of social media platforms.
    • Strong interpersonal, written and oral communication skills.
    • Strong project management, organizational and time management skills.
    • Reliable transportation to and from office space and for program-related activities as necessary.

     

    DESIRED SKILLS & ABILITIES

    • A self-starter with a desire to innovate, develop, and implement.
    • Ability to think non-linearly and anticipate unforeseen circumstances.
    • Experience living, working or studying abroad and/or working in a cross-cultural setting.
    • Passion for international exchange and strong desire to learn about other cultures from around the world.
    • Speak a second or multiple languages.

     

    THIS POSITION IS BASED AT GLOBAL TIES AZ OFFICE: 1240 E. MISSOURI AVENUE, PHOENIX AZ 85014. NORMAL OPERATING HOURS ARE MONDAY THROUGH FRIDAY FROM 9:00 AM - 5:00 PM.

     

    COMPENSATION & BENEFITS

     

    1. Contribute to the important work of growing the United States’ diplomatic connections with other nations and promoting peace and understanding between people of the world.
    2. Annual salary range: $38,000 - $42,000 (commensurate with experience)
    3. Sign-on bonus (pending service commitment)
