    Job Summary

    We are looking for a friendly, welcoming administrator/receptionist/concierge to join our team!

    The ideal candidate has a cheerful disposition, excellent communication, exceptional writing and computer skills, and is capable of multitasking.

    Responsibilities

    Handle administrative duties.

    Manage workflow by assigning and managing tasks daily, ensuring that deadlines are met and work is completed correctly

    Implement and monitor programs/ events as directed by management, and see the programs/ events through to completion

    Attend meetings and take dictation

    Respond to questions and request for information

    Assist in training staff members and new hires

    Assist with staff communication/ documentation to Human Resources (HR)

    Answer and route calls

    Manage email accounts

    Manage website and social media accounts

    Maintain up-to-date employee holiday records online and on paper

    Ensure accurate data on official systems

    Maintain contact lists

    Generate memos, emails, newsletters, and reports when appropriate

    Develop and maintain a filing system

    Carry out administrative duties such as filing, typing, copying, binding, scanning etc.

    Receive, sort and distribute the mail

    Assume responsibility for maintenance of office equipment, including computers, copy and fax machines

    Maintain office supplies by checking inventory and order items

    Develop and update administrative systems to make them more efficient

    Run routine errands

    Book travel arrangements

    Submit and reconcile expense reports; as well as manage receipt logs

    Assist counselors with OMH documentation and communication with clients

    Complete patient intakes and route to appropriate clinical team.

    Schedule patients for appointments and manage practice-wide schedule

    Work as part of a multidisciplinary team including but not limited to GTR’s international staff, social workers, health educators, outreach workers, etc.

    Ensure continuity of services for clients and collaborate with other social service agencies to provide wraparound services for clients

    Special projects as required

    Qualifications

    At least two years admin experience

    Bachelor's degree

    Multicultural competence preferred

    Excellent writing skills, and ability to submit documentation on a set timeline.

    Proficient computer skills (ability to utilize Microsoft Word, Excel and PowerPoint).

    Bilingual Fluency (Spanish or Haitian-Creole) a PLUS

    Strong attention to detail; excellent organizational and analytical skills

    Must have a flexible schedule with the ability to work some evenings and weekends

    Be able to commit to this position for at least a year
