We are looking for an Office Manager to join our Berkeley team. The Office Manager will be an energetic professional who does not mind wearing multiple hats, experienced in handling a wide range of administrative and executive support related tasks, and who is able to work independently with little or no supervision. Ideally, the person in this position is well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.
Responsibilities
- Oversee and support all administrative duties in the office
- Manage staffing coverage to ensure the office operates smoothly
- Manage office supplies inventory and place orders as necessary
- Perform receptionist duties - greet visitors, answer and direct phone calls
- Receive and sort incoming mail, deliveries, and manage outgoing mail
- Interface with clients and vendors to ensure timely payment as projects progress
- Perform general Accounts Receivable duties - invoice clients, process customer payments, reconcile customer accounts, and collect unpaid balances
- Provide other administrative support as necessary - schedule group meetings, maintain calendars, research customer issues, and create reports
- Track all petty cash transactions and obtain receipts from employees
- Coordinate onsite visits with vendors and management team
- Support inside and outside sales staff to streamline sales processes
Qualifications
- 5 years of work experience in an office manager role
- High school diploma or equivalent - college degree a plus
- Experience with Excel
- Possess flexibility, personal drive, self-motivation and initiative to accomplish tasks
- Strong organizational and time management skills with an ability to prioritize tasks
- Possess strong customer relationship management skills
- Excellent communication and interpersonal skills
- Strong problem-solving skills and analytical abilities
