    Proficiency in QuickBooks for financial management is required Administrative Assistant-Billing, Shipping, and Administrative Assistant We are looking for a proactive, organized, and skilled Administrative Assistant to join our team. This front-of-house role is essential to ensuring that logistics, accounting, and inventory tasks are completed in an efficient and accurate manner. Responsibilities: 1. Shipping and Freight Coordination: • Efficiently coordinate shipping and freight for all orders, using various online platforms for both packages (FedEx, UPS, USPS, etc.) and pallet boxes (including LTL and full truckload shipments). • Manage logistics and scheduling to keep clients and internal staff updated at all times. • Maintain and develop relationships with freight brokers, service providers, and other vendor representatives. • Assist in scheduling, organizing, and tracking all international shipments, whether small packages or large pallet boxes. • Work with customer brokers to clear international shipments into the US and pay customs and duties. 2. Invoice Management and Accounts Receivable: • Ensure invoices are sent to customers and then filed and organized accordingly. • Send statements to customers monthly. • Oversee accounts receivable, including making collection calls when necessary. • Manage the depositing of checks and wires into the company bank accounts. • Process credit card payments. 4. Data Entry and Inventory Management: • Help with data entry and management of inventory using inventory control software. • Ensure accurate tracking and recording of inventory levels. • Assist in KPI tracking as needed. 5. General Administration: • Provide administrative support to the management team. • Provide exceptional customer service. • Deposit international checks at local banks. • Greet visitors upon arrival at the office. • Answer the main phone line and direct callers appropriately. Qualifications: Experience and Skills Required: • Prior experience in a product-based company is preferred. • Proficiency in QuickBooks for financial management is required • Strong skills in Microsoft Office Suite and Google Office Suite. • Other relevant office administration skills. Qualities of the Ideal Candidate: • Excellent organizational and multitasking abilities. • Strong communication and interpersonal skills. • Ability to work independently and as part of a team. • Detail-oriented with a focus on accuracy and efficiency. Compensation: $70,000 yearly
