    Job Description

    Good-Men Roofing & Construction is seeking a detail-oriented ADMINISTRATIVE ASSISTANT to join our San Diego team. In this role, you will assist the Accounting and Human Resources department with accounts payable, labor compliance, and administrative duties. The Administrative Assistant will be responsible for keeping track of all INVOICES AND BILLINGS and ensuring the correct documents are in place before releasing funds to vendors and subcontractors. In addition, the Administrative Assistant will also assist HUMAN RESOURCES with LABOR COMPLIANCE, reporting, recording, and tracking sensitive employee data. The ideal Administrative Assistant is a self-starter with strong attention to detail and the ability to multitask.

    RESPONSIBILITIES & DUTIES:

    ● Input subcontractor pay-out data and review for accuracy

    ● Process employee reimbursements

    ● Enter and route vendor invoices for approval in the accounting system

    ● Create/Maintain Job/Subcontractor/Vendor folders

    ● Match/Process/File Vendor Payments with invoices

    ● Log/Track all preliminary notices and request releases from vendors and subcontractors

    ● Maintain Certificate of Insurances in Log Book

    ● Answer all incoming calls/Operate/Update Phone System

    ● Order and control inventory of office supplies

    ● Gather/Sort/Distribute incoming mail

    ● Maintain company office and vehicle keys

    ● Assist Human Resources with reporting and recording (VETS, EEOC, OSHA, Training, Worker’s Compensation, etc)

    ● Review time sheets for accuracy

    ● Prepare new hire and termination packages

    ● Schedule and communicate employee trainings

    ● Track eligibility dates, birthdays, anniversary dates

    ● Assist Human Resources with COVID-19 Research and distribution of job site postings

    ● Request and Review subcontractor’s certified payroll and compliance documents and submit to awarding body

    ● Upload certified payroll reports to LCPTracker and DIR

    ● Communicate labor compliance discrepancies with construction department

    ● Coordinate with construction department for project status updates

    ● Perform additional assignments per management’s direction

     

    Skills and Work Experience:

    ● Bachelor’s degree in ACCOUNTING, Business or related degree preferred

    ● 2-years LABOR COMPLIANCE experience

    ● 2-years CONSTRUCTION ACCOUNTING experience

    ● Government Contracting experience preferred

    ● Must be a self-starter with the ability to maintain confidentiality with sensitive information

    ● Strong organizational skills and attention to detail

    ● Willingness to take on variety of tasks

    ● Ability to multitask and prioritize

    ● Excellent verbal and written communication skills

    ● Proficient with Microsoft (Word, Excel, Office and Outlook)

    ● Procore experience a plus

    ● Spectrum/Viewpoint experience a plus
