    GMC is looking for an Office Administrator (OA) to work in our Pensacola, FL office. The role of the OA is to provide administrative support to the office and its staff. It is important for the OA to have a positive outlook and possess a problem-solving perspective to meet needs quickly. Honesty, integrity, and dependability are also necessary qualities for this position. The OA will report to Office Leadership.

    ** Essential functions and responsibilities include:**

    • Project Responsibilities
    • Receive visitors and maintain an orderly appearance to your work area
    • Receive visitors and calls for Senior and Executive team members
    • Order and maintain office equipment and supplies
    • Coordinating meetings, lunch and learns, and maintaining schedules for conference room
    • Submit and keep record of maintenance requests
    • Organize and submit expense reports for Senior and Executive team members
    • Record and renew staff licenses, continuing education credits and memberships
    • Assist with new hire paperwork and orientation
    • Compose, edit and revise a variety of documents
    • Arrange travel and maintain travel logs as necessary
    • Issue advertisement and bidding for projects as well as plan distribution
    • Maintain project bidder and plan holder list, keep record of plan deposits
    • Assist the Construction Coordinator with Construction related paperwork – pay request, submittals, change orders and field reports
    • Assist Contract Administrator with Contracts and Contract Amendments
    • Assist Engineers / Architects / other Administrators as needed
    • Marketing assistance – reach out to marketing team, update different types of resumes, review drafts, input database past project information
      • Company Automobile – maintenance schedule, cleaning, gas
    • Other tasks assigned as needed

    Minimum Qualifications:

    • 2-5 years previous experience in a related field
    • Must be detail-oriented and a self-starter
    • Strong written and verbal skills
    • Ability to multi-task and work under pressure
    • Proven critical thinking and problem-solving abilities
    • Adaptable and efficient
    • Demonstrates the ability to prioritize work
    • Experience using Microsoft Office, Teams, Power Point, Word and Excel
    • Experience using or willingness to learn Bluebeam
